Direct all aspects of staffing needs and operations of the center while supporting positive labor outcomes and onboarding processes through discretion and independent judgment. Liaise with recruitment resources to fill vacancies in a timely manner and support candidate screening and hiring processes. Develop and maintain employee schedules in accordance with state, company, and facility guidelines to ensure staffing needs are adequately met.
EssentialFunctions
- Identify open positions for recruitment and coordinate efforts with internal and external resources.
- Maintain a monthly recruitment plan with weekly follow‑up.
- Monitor candidate flow and schedule manager interviews for timely employment selection.
- Complete pre‑employment screens such as background checks, drug screens, and references per company policy.
- Direct, coordinate, and schedule “The Basics” orientation with Leadership Team.
- Prepare new hire paperwork (I‑9, mentor assignments, KEM time‑clock enrollment) and ensure compliance with state, federal, and company guidelines.
- Prepare master schedules to meet facility needs, using independent judgment to maintain operational staffing coverage.
- Notify leadership appropriately regarding call‑ins and use discretionary judgment to secure coverage and manage operational cost.
- Maintain accurate attendance records and notify management of attendance‑related concerns.
- Enter and maintain data related to scheduling using company software and complete required training.
- Provide training and support for managers and staff on scheduling software and resources.
- Ensure HPPD, overtime, and related metrics align with budget and daily census, making scheduling adjustments as needed.
- Prepare and submit reports on staffing operations (miss punches, open positions, HPPD, overtime, agency use, schedule variances).
- Perform other duties related to the management or general business operations as assigned.
- Basic knowledge of HPPD and overtime management.

- Proficient with computers and necessary software (Microsoft Office, Excel, Word).
- Ability to evaluate reports and report trends to leadership.

This position is an individual contributor and does not supervise other employees.
Work EnvironmentThis job operates in a professional office environment, routinely using standard office equipment such as computers and phones.
Physical DemandsStanding, walking, sitting, and using hands to handle objects or controls are required. Close vision and hearing are necessary.
Position Type / Expected Hours of WorkThis is a full‑time position. Business hours are Monday through Friday, 8:30 a.m. to 5 p.m.; longer hours and evenings may be required.
RequiredEducation and Experience
- Minimum high school diploma or equivalent.
- Demonstrated current experience in scheduling/staffing at a long‑term care facility.
Education and Experience
- Relevant education, certifications, or experience in human resources or staffing preferred.
