Summary
We are seeking a highly organized and detail‑oriented Administrative Assistant to provide comprehensive support to our team. This role is responsible for managing day‑to‑day administrative tasks, coordinating office operations, and ensuring efficient communication across the organization. The ideal candidate will be proactive, resourceful, and capable of handling multiple priorities with professionalism and discretion. A key responsibility of this role includes arranging travel logistics and managing housing accommodations for employees, visitors, and company events.
Location737 E 1180 S, American Fork, UT 84003 (On-site)
ScheduleMonday – Friday; 9 AM – 6 PM
Salary$50,000 – $60,000 annually
Key Responsibilities- Provide administrative support to leadership and staff, including scheduling, calendar management, and meeting coordination.
- Prepare and edit correspondence, reports, presentations, and other documents as needed.
- Answer and direct phone calls, emails, and inquiries in a professional and timely manner.
- Maintain accurate records, files, and databases with a high level of confidentiality.
- Coordinate all travel arrangements, including booking flights, ground transportation, and accommodations.
- Manage housing accommodations for visiting employees, contractors, and guests, ensuring smooth check‑in, check‑out, and comfort during their stay.
- Process travel reimbursements and expense reports in a timely manner.
- Coordinate daily lunch for all employees enrolled in the lunch program.
- Assist with onboarding new employees, including preparing materials and scheduling training sessions.
- Manage office supplies, equipment, and vendor relationships.
- Support special projects and other duties as assigned to ensure smooth operations.
- Coordinate monthly and quarterly employee engagement activities.
- High school diploma or equivalent; associate’s or bachelor’s degree preferred.
- 2+ years of administrative experience, preferably in a professional office setting.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
- Strong organizational skills with exceptional attention to detail.
- Excellent written and verbal communication skills.
- Ability to handle confidential information with discretion.
- Demonstrated ability to manage multiple priorities and deadlines.
- Professional demeanor and customer‑service orientation.
