Operations Assistant German Speaking

We are looking for a proactive and detail-oriented Operations Assistant to join our international Operations team. In this role, you will support daily operational and administrative activities to ensure smooth order processing and high-quality customer support.

You will work closely with colleagues across multiple departments, including Sales and Warehouse teams, in a multicultural and collaborative environment. This position is ideal for someone who enjoys structured work, communicates effectively, and takes pride in accuracy and reliability.

• Process customer orders accurately and efficiently using internal systems and tools
• Handle invoicing and related administrative procedures in a timely manner
• Provide customer support by email and phone in German regarding orders, shipments, invoices, and other operational inquiries
• Coordinate with Warehouse and internal teams, proactively monitor and follow up on open orders, and communicate delays or issues to customers and internal stakeholders
• Escalate operational issues or customer concerns to the appropriate internal stakeholders when necessary
• Coordinate order changes, cancellations, and returns, while ensuring that order, shipment, and invoice information is complete and accurate
• Maintain accurate customer data and documentation in internal systems, including customer registration and order-related updates
• Support day-to-day operational activities and assist team members when needed
• Participate in regular team meetings and collaborate with cross-functional teams in an international environment
• Fluent in German and strong command of English, both written and spoken
• Good understanding of German business culture and customer expectations
• Good knowledge of Microsoft Office, especially Excel (including pivot tables and basic formulas)
• Strong customer-oriented mindset with a focus on accuracy and quality
• Ability to process data quickly and accurately with strong attention to detail
• Able to maintain concentration and consistent accuracy when handling structured and repetitive tasks
• Comfortable learning and working with different software systems and tools
• Well-organized, with the ability to prioritize tasks and meet deadlines
• Flexible and comfortable working in a multicultural environment influenced by Japanese business culture
• Professional and reliable, with the ability to build and maintain positive working relationships with customers and cross-functional teams
• Suitable for entry-level to intermediate candidates; previous experience is an advantage but not required
• Additional language skills are considered a plus
• Valid EU work and residence permit required
• Able to commute to Amsterdam Zuidas, the principal place of work
