Within Scoober, our courier logistics arm, Workforce Management plays a critical role in keeping operations running efficiently across markets. As we continue to scale, we’re looking for a WFM Specialist to strengthen our Global Planning & WFM team.
About the RoleAs a WFM Specialist
, you’ll support Scoober teams with schedule planning, WFM system management, payroll inputs, real-time performance monitoring and process optimisation.
You’ll be the operational backbone of daily workforce execution — ensuring schedules are optimised, systems are accurate, KPIs are met and teams are fully supported. Detail-oriented and reliable, you’ll work closely with Operations to translate plans into reality while contributing to longer-term WFM improvements and strategic projects.
These are some of the key ingredients to the role- Generate and optimise agent schedules to achieve operational KPIs.
- Ensure smooth execution of WFM processes across supported teams and markets.
- Act as a daily WFM partner to Operations, helping steer teams toward shared performance goals.
- Validate, map and continuously improve WFM processes.
- Review vacation requests and approve or decline based on operational impact.
- Support the timely delivery and accuracy of payroll reports.
- Monitor performance and adherence to enable real-time staffing adjustments.
- Maintain WFM system accuracy by updating attendance exceptions, shift preferences, downtime and breaks.
- Audit system configurations such as shift types, opening hours and exceptional requests while ensuring legal compliance.
- Lead new-hire onboarding and scheduling from a WFM perspective.
- Provide ad-hoc reporting to support Live Ops decision-making.
- Contribute to cross-functional WFM projects and process improvements.
- Previous experience in Workforce Management, ideally with exposure to WFM systems and tooling.
- Working knowledge of Excel or Google Sheets.
- Strong administrative skills combined with an analytical mindset.
- A proactive approach to learning and improving processes.
- Excellent written and verbal communication skills in English.
- Highly organised with strong attention to detail and deadlines.
- Comfortable working independently and occasionally under time pressure.
- Strong problem-solving, judgement and decision-making abilities.
