This position is responsible for organizing, managing and disseminating healthcare information for Island Hospital departments and clinics. Medical Records Clerks must fully protect the privacy and security of all patient’s medical records, ensuring confidentiality in accordance with Washington State and HIPAA regulations.

• Medical Record Maintenance – scan paper documentation into the Electronic Record; pull and file physical charts when needed; archive charts to/from offsite storage and purge based on retention policy.
• Review for Completeness of Visit Documentation – abstract data within Meditech and note any physician incomplete or missing documentation; follow up daily to check for and complete deficiencies when appropriate.
• Appointment Preparation – provide necessary documentation or charts for scheduled patient visits or upon request from providers/clinical teams.
• Release of Information – process all patient and provider requests for information, including inbound/outbound and referrals; process documentation needs for external audits, appeals, and quality requests.
• Faxes – process all inbound/outbound faxes for medical records and prescription refills from providers.
• Customer Service – provide excellent customer service for patients and the community via phone, email, patient portal, and in‑person assistance.
• Scanning – ensure quality and timely scanning of all patient documentation; complete order tasks in Meditech when scanning in results where applicable.
• Process Birth Registry to WA State within required timelines.
• Process transcription reports that fail to cross the interface into Meditech.
• Rounding – complete daily rounding to departments and clinics of Island Hospital as scheduled to retrieve and deliver patient records; distribute and process as appropriate.
• (Optional) Become a notary if available to serve patients.
• Maintain all functions within guidelines established in the Island Hospital HIPAA Compliance Policies and Confidentiality Agreements.
• Interact positively with administration, directors, managers, supervisors, peers, co‑workers, subordinates, patients, and visitors.
• Meet regular attendance standards and stay at or below average sick leave utilization levels.

• Experience with an Electronic Medical Record (EMR).
• Computer proficiency; must type at least 45 words per minute.
• Excellent interpersonal and communication skills.
• Ability to work independently and as a member of the Medical Records team.
• Critical thinking skills and ability to multitask.

• Minimum one year experience in a medical office setting; medical records experience preferred.
• Strong understanding of HIPAA rules and guidelines.
• Notary certification must be active or obtainable within 90 days.
• High school graduate or equivalency.

Employees perform duties in an indoor environment protected from weather but may be exposed to temperature changes, dust, pollen, pollutants, fumes, and communicable diseases related to healthcare. Noise levels are usually moderate.

Work requires frequent speaking, hearing, and sitting for extended periods. Manual dexterity is needed for keyboard usage. Occasional standing, walking, climbing, kneeling, lifting up to 25 pounds, and using hands to manipulate tools or controls. Vision includes close, distance, peripheral, depth perception, and focus adjustment for computer use. Reasonable accommodation provided for disabilities.
