Secretary – Registrar/Records (Bilingual & Non-Bilingual)
Location:
Anaheim, CA
Salary: $4,562.00 – $6,000.00 Monthly
Employment Type:
Full Time – 11.5 months – 40 hrs/week
Department:
School Sites
- Perform moderately complex clerical support and record‑keeping duties related to pupil enrollment, graduation/promotion, and withdrawal of students.
- Specialized functions in student records management, transcript analysis, and data input.
- Other related work as required.
- Assigned to a school site; specialized clerical support for registration, enrollment, and cumulative/permanent record maintenance.
- Requires familiarity with District and State enrollment laws, policies, and procedures.
- Bilingual class requires ability to speak, read, and write in Spanish.
- Education:
High school graduation. - Experience:
Two years of secretarial experience, preferably involving student/teenage contact and school records management.
- Modern office procedures, practices, and equipment.
- Transcript evaluation and student enrollment procedures.
- State and District laws, rules, and regulations related to pupil enrollment, graduation, student records maintenance and confidentiality.
- Record‑keeping, report preparation, and filing techniques.
- Oral and written communication skills, including telephone techniques.
- Correct English usage, grammar, spelling, punctuation.
- Customer service and interpersonal skills.
- Proficient computer skills in data entry and software.
- Intermediate math.
- Coordinate activities of the Registrar and/or Records Office at an assigned school site.
- Perform secretarial functions such as word processing, filing, reports.
- Learn software applications.
- Organize, compile, evaluate student data.
- Evaluate and interpret transcripts.
- Interpret, apply, and explain records regulations.
- Establish and maintain student records and files.
- Prepare reports.
- Type at 45 words per minute.
- Plan and organize work.
- Work independently with little direction.
- Meet schedules and timelines.
- Understand instructions.
- Perform arithmetic computations accurately.
- Maintain confidentiality.
- Complete work with interruptions timely.
- Prioritize work.
Contact with public; stand, sit, walk, kneel, repeated bending, reach overhead; lift 5–26 lbs; use fingers repetitively with pressure; use computer and telephone.
Work EnvironmentInside school office; contact with staff, students, administration; exposure to minor contagious illnesses; high volume of work with frequent interruptions and stringent deadlines.
