Job Overview

Salary $35 - $40 per hour. Based in Orange County, CA. We have been building architectural designs for decades. Seeking an experienced Project Coordinator with Executive Assistant responsibilities covering maternity leave (3-6 months).

Responsibilities
  • Provide comprehensive administrative support for assigned senior executives.
  • Ensure executives are well‑prepared for client meetings and presentations.
  • Facilitate communication between the executive and other departments.
  • Manage sensitive and confidential information with professionalism and discretion.
  • Provide high‑level project‑related administrative support to project managers and senior management on assigned projects.
  • Oversee the administrative coordination of multiple proposals from initiation through completion.
  • Support the project manager by tracking project timelines, deliverables, and progress.
  • Serve as a liaison between clients, consultants, contractors, and internal teams to ensure clear and consistent project communication.
  • Prepare, maintain, and organize comprehensive project documentation, including proposals, contracts, reports, and correspondence.
  • Ensure that all project activities and deliverables meet the company’s quality standards and comply with relevant regulations and codes.
Qualifications
  • Minimum of 5 years of experience in a similar role, preferably within the construction industry.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and project management software.
  • Ability to handle sensitive and confidential information with discretion.
  • Strong attention to detail and problem‑solving skills.
  • Ability to work independently and as part of a team.
  • Proven experience in project coordination or project management.
  • Bachelor’s degree in a relevant field is preferred.
