Shareholder Services Receptionist – Temporary

Calista Corporation – temporary position, expected to last until January 31 2026.

Job Summary

The Receptionist provides general office support to the Shareholder Services Team with a variety of clerical and administrative activities. Responsibilities include answering and directing calls, mailing distribution, ordering office supplies, and supporting the Administrative Assistant. This role requires a fast‑paced, customer‑service oriented environment.

Essential Functions
  • Maintain awareness of internal departmental events to assist callers and visitors.
  • Achieve knowledge leadership on the phone system and administer all incoming calls professionally.
  • Serve as initial point of contact for shareholders, providing hospitable and accurate information.
  • Redirect phone calls to the appropriate staff member or record a clear message.
  • Route enrollment technical inquiries to Senior Enrollment Manager or designee.
  • Greet guests, track visitors via reception box software, and manage visitations.
  • Order office supplies, keep reception and common areas stocked and organized.
  • Assist with the assembly of electronic and printed desk manuals (templates, FAQs, etc.).
  • Compile, data‑entry, and maintain contact lists for stakeholders.
  • Open and close visitor area, run coffee, lock drawers, and perform basic kitchen duties.
  • Provide standard clerical duties (fax, file, copy) and maintain office equipment.
  • Work with staff to route mail, arrange interoffice communication, and coordinate courier service requests.
  • Coordinate building maintenance and IT requests.
  • Date‑stamp everyday mail and distribute to staff slots.
  • Run errands as directed.
  • Assist with note‑taking at events and the preparation and circulation of approved agendas and notes.
  • Help with travel and accommodation arrangements, and prepare travel reports for projects.
  • Assist with logistics, including scheduling meetings, workshops, and training events; set up audio‑visual conferencing.
  • Fill in for the Administrative Assistant as needed and maintain a constant state of alertness and safety.
  • Perform other duties as assigned.

  • Intermediate Microsoft Office skills, willingness to learn additional software; typing speed at least 45 wpm.
  • Excellent interpersonal, oral and written communication skills.
  • Ability to operate a motor vehicle safely.
  • Ability to grasp new tasks quickly and accurately.
  • Ability to remain detail oriented and follow up proactively.
  • Good judgement and decision‑making ability.
  • General office equipment familiarity.
  • Strong customer service and active listening skills.
  • Works positively in a Native Corporation multi‑business environment.
  • Read, interpret and follow safety and procedural documents.
  • Basic math skills (addition, subtraction, multiplication, division, percentages).
  • Ability to safely operate a motor transport vehicle for confidential delivery.
Qualifications
  • High School Diploma; technical, vocational, or administrative certification preferred.
  • Minimum two years of related administrative experience with customer‑service focus.
  • Valid state driver’s license and compliance with Calista Corporation’s Driving Policy.
  • Pass a drug, reference, and background check.
  • Strong knowledge of Yupik language strongly preferred.
Working Environment

The office team operates in a fast‑paced, multi‑tasking customer‑service oriented environment with occasional overtime.
