About the PositionThe Executive Coordinator provides administrative and coordination support to the Chief Executive Officer, Board of Directors, and executive leadership. This position assists with scheduling, meeting preparation, Board activities, correspondence, records, document preparation, and follow-up on assigned tasks. The Executive Coordinator handles confidential information and works with internal and external stakeholders to support the efficient operation of the executive office.
What You'll DoBoard of Directors Support
- Coordinate Board and committee meetings, including scheduling, agendas, Board packets, supporting materials, meeting logistics, and distribution of materials.
- Attend designated Board and committee meetings and prepare and distribute meeting minutes.
- Maintain records related to Board members, meetings, assignments, attendance, governance requirements, training, compliance deadlines, and other recurring administrative requirements.
- Assist with Board member onboarding, required documentation, and annual or recurring Board administrative activities and reporting.
- Coordinate routine communications with Board members.
- Assist with developing and maintaining standard operating procedures for recurring Board administrative processes.
- Schedule and coordinate Senior Leadership Team, Leadership Team, executive, and other assigned meetings, including meetings involving multiple departments or external organizations.
- Coordinate meeting logistics, including meeting space, catering, virtual meeting technology, materials, and participant communications.
- Prepare and distribute meeting materials and record and distribute meeting minutes or notes as assigned.
- Maintain action-item lists and follow up with responsible individuals as requested.
- Maintain organized electronic and physical records for the Senior Leadership Team, Leadership Team, and Board of Directors.
- Maintain current versions of forms, templates, meeting materials, and administrative documents and assist with records retention and archiving activities.
- Support the organization and maintenance of SharePoint, Teams, and other approved collaboration spaces used by the Senior Leadership Team, Leadership Team, Board of Directors, and Board committees.
- Assist with special projects for the CEO and executive office.
- Coordinate travel arrangements, events, and other executive activities as needed.
- Communicate professionally with employees, Board members, vendors, community partners, and other internal and external stakeholders.
- Perform other related duties as assigned.

- Full-Time, Exempt
- Salary range is $66,000 to $85,000 based on experience
- Eligible for up to $20,925 in annual incentive with the average being $7,700.

- Bachelor's degree in business administration or related subject.
- A minimum of three years' experience providing administrative support to senior management and/or Board of Directors
- Proficiency with Microsoft 365 applications including Exchange, Word, Excel, PowerPoint, Teams, SharePoint, and One Drive.
- Demonstrated ability to handle sensitive information with confidentiality , discretion , and professionalism .
