Registrar – Andover Middle School – Andover Public Schools
Purpose:
The Registrar provides office and clerical support to assist with the efficient operation of the school district. To accomplish these tasks, the Registrar works closely with the staff and administration of USD

- Assist with computer entry during enrollment.
- Input new student information, schedules, make schedule changes, and print schedules.
- Prepare and mail enrollment packets.
- Request records from previous school for all new students.
- Input transcript information to transcript file showing courses, grades, and credits.
- Calculate GPA and update GPA information on computer.
- Send letters to parents regarding retentions and demotions.
- Coordinate all information for curriculum guide from department heads, make all changes, and prepare copy for printing.
- Assist with Master Schedule.
- Input enrollment course selection, teacher name changes, and room number changes in computer.
- Input student pre‑enrollment schedules.
- Assist counselors’ office with schedule changes.
- Update parent information in computer.
- Prepare student documents as requested; the court system, educational verifications, agencies, military branches, etc.
- Complete insurance forms for Good Student Discount when requested.
- Process student transcripts when requested.
- Check schedules for enrollment errors and schedule problems.
- Enroll new students throughout the school year. Check computer information, make cumulative folder, input transcript, and request records.
- Notify teachers of transfer grades.
- Provide district office with student withdrawal information as they are incurred.
- Distribute grade‑input sheets to teachers and communicate Registrar/grading requirements to certified staff.
- Confirm accuracy of all 9‑week (if required) and semester grades in computer, check for errors, and make necessary corrections.
- Oversee the file management of incoming freshman files, current students, withdrawn and graduated students.
- Communicate with college representatives for school visits and student record requests.
- Follow‑up on all incomplete grades and enter in computer after report cards distributed.
- Coordinate report card distribution.
- Prepare Honor Roll list for newspaper and send to ESC.
- Input Summer School courses, grades, and mails grades to schools of out‑of‑district students.
- Work with students with dual credit college classes, including enrollment, dropped classes and posting of grades.
- Serve as liaison with local colleges to provide student eligibility requirements.
- Analyze incoming senior transcript checking specifically graduation credit.
- Maintain on‑going evaluation of all senior grades, courses, and graduation requirements.
- Assist in preparation of letters for seniors who failed courses needed to graduate.
- Prepare list of mid‑term graduates, inform teachers, and check credits/first semester grades.
- Verify correct spelling of names for diploma and prepare walking partner/graduation seating chart.
- Order diplomas, prepare senior list of names, and consult each senior personally for correct spelling of name.
- Prepare and distribute senior checkout forms.
- Evaluate foreign student for grade placement and maintain records once placed at AHS.
- Calculate class rank for all students each semester (including finals for Seniors).
- Post GPA, graduation date, final class rank, and principal’s signature on transcripts. Mail final Senior transcripts to post high school destination.
- Work with other school districts regarding out‑of‑district TMH students. Includes quarterly attendance reports, report cards, and state assessment testing.
- Collect and analyze data related to K Scholars Curriculum Rosters and honors awards for SR Honors Recognition Banquet (including development of certificates).
- Work with principal on annual building and discipline reports.
- Collect and prepare documentation for annual count day and subsequent state auditor.
- Maintain testing records in Power School for PLAN, PSAT, SAT, ACT, etc. SAT and ACT.
- Serve as school coordinator for student records in State mandated database: KIDS.
