Office Administrator/ Coordinator, Data Entry
We are seeking a highly organized and proactive FIFO Site Administrator to support the daily operations of our remote project site located in Ontario on a 2 in 2 out schedule. This role is critical in ensuring smooth administrative functions, including logistics coordination, document management, and site support services. The ideal candidate will thrive in a fast‑paced, remote environment and possess excellent communication and multitasking skills.
Key Responsibilities- Coordinate mobilization and demobilization of site personnel, including flights and accommodation.
- Maintain accurate site records, including timesheets, rosters, and personnel files.
- Provide administrative support to site management and project teams.
- Manage procurement and inventory of office supplies and site consumables.
- Liaise with head office for payroll and HR related matters.
- Ensure compliance with site safety protocols and assist with incident reporting.
- Support onboarding of new staff and contractors, including inductions and compliance checks.
- Assist with reporting and data entry for project tracking and performance metrics.
- Preparation of expense reports.
High school diploma or equivalent; post‑secondary education in Human Resources or Business Administration or a related field is a plus.
Skills & Qualifications- Proven experience in an administrative role, preferably in a FIFO or remote site environment.
- Strong organizational and time‑management skills.
- Proficiency in Microsoft Office Suite and site‑management software.
- Attention to detail and accuracy in data entry and document handling.
- Ability to handle confidential information with discretion.
- Ability to work independently and as part of a team.
- Strong problem‑solving skills and the ability to adapt to changing priorities.
- Reliable and punctual with a strong work ethic.
- Excellent communication and interpersonal skills.
- Knowledge of workplace health and safety practices is highly desirable.
- Valid driver’s license and ability to pass pre‑employment medical and drug/alcohol screening.
