The Equipment Coordinator is responsible for overseeing the management, maintenance, and repair of project equipment, ensuring operational excellence across construction projects in the solar market. Reporting to the Fleet and Equipment Manager, this project‑based role requires Monday through Friday hours, with up to 100% travel.
Essential Job Functions & Responsibilities- Provide comprehensive support to construction operations to maximize equipment use and minimize costs.
- Perform inbound equipment receiving and inspection on newly mobilized assets and rentals, and outbound inspections on returning assets and rentals, including fleet vehicles.
- Maintain an up‑to‑date list of project equipment and vehicles, overseeing utilization and scheduling replacements and repairs.
- Implement and oversee a preventative and predictive maintenance program on‑project, monitoring repair execution.
- Directly manage project fueling process and control.
- Coordinate project mechanics, both internal resources and third‑party, in collaboration with the F&E managers.
- Lead the implementation of safety programs, participate in accident reviews, and ensure fleet compliance with regulations.
- Deliver utilization reports to senior leadership, including weekly summaries.
- Address urgent equipment needs of the construction operations.
- Coordinate with local vendors to facilitate third‑party repairs and services to support the project execution team.
- Label all project equipment and fleet as per identifiers provided by F&E managers.
- Promote and lead by example to maintain the highest standards of safety.
- Maintain regular attendance in accordance with company attendance policy.
- Prepare and maintain extensive spreadsheets, documents, and request trackers on internal systems.
- Provide detail on invoices for fuel, rent, and lease to specific sites.
- Collaborate with Risk Management regarding COI’s, equipment loss, or recordable damages.
- Coordinate with approved vendors to obtain quotes.
- Distribute registrations and insurance card updates for all equipment.
- Partner with Fleet to activate and deactivate fuel cards for all rental equipment.
- Comply with Employee Handbook, Code of Conduct, and Company Policies & Procedures.
- Perform other duties and special projects as assigned by Management.
- Minimum of 2 years of construction experience, preferably in solar or related industries.
- Proficiency in Microsoft Excel, Office, and Outlook.
- Experience with database systems and fleet and equipment management software.
- Exceptional organizational, negotiation, and communication skills.
- Capability to interact with leadership cross‑culturally, both within and outside the organization.
- Strong desire to continuously improve and push limits.
- Strong team player with a high degree of professionalism.
- Willingness to travel up to 100%.
- Bilingual.
- Experience with machine automation (GNSS Automation).
- Valid Driver’s License.
- Move/Traverse: infrequently bend, stand, stoop and/or walk.
- Carry Weight: infrequently carry or lift objects weighing up to 50 pounds.
- Hearing and Speech: frequently communicate with the ability to hear and talk on a regular basis.
- Sight: frequent use of sight to detect images on computer, office documents, and office objects near and far.
- Climb: occasionally climb/descend on site equipment as needed for inspection, maintenance, or repair.
- Involves heavy physical work, including lifting up to 100 pounds occasionally and up to 50 pounds regularly.
- Requires standing, walking, using tools, and climbing or balancing as part of daily tasks.
- Performed outdoors with exposure to varying weather conditions.
- Travel required up to 95% of the time to different job sites.
- Must wear appropriate personal protective equipment (PPE), including hard hats, safety glasses, and fire‑retardant clothing.
