The City of Annapolis is seeking a dedicated Accounting Associate I to join the Finance Department. In this role, you will perform routine professional financial accounting duties that require the application of standard accounting theories, principles, and techniques in compliance with Generally Accepted Accounting Principles (GAAP). You will be responsible for maintaining accounting controls and financial security by following policies, procedures, and internal controls.
This position exercises independent judgment in selecting pertinent guidelines and adapting standard practices, while consulting with higher‑level accounting staff for complex functions.
The successful candidate will perform a diverse range of duties to ensure the accuracy of City financial records:
- Financial Reporting: Prepare monthly, quarterly, and annual financial statements, schedules, and reports, including the completion of accounting entries and reconciliation of accounts.
- Account Reconciliation: Verify accounts, analyze entries, transactions, and ledgers. Identify and reconcile discrepancies between cash and credit statements and the accounting system.
- Record Maintenance: Track and maintain various ledgers, registers, and journals in accordance with established policies. Verify deposits with bank statements and maintain filing systems for canceled checks and other documentation.
- Accounts Processing: Prepare and process routine invoices into the accounting system for accounts payable, accounts receivable, and internal billing transactions while ensuring accuracy.
- Financial Analysis: Develop or assist in developing non‑standard reports and statements, such as detailed cost and financial analysis, forecasts, trend analysis, and projections.
- Customer Service: Work with internal and external customers to respond to inquiries regarding account status, payments, and check issuance.
- Knowledge, Skills and Abilities: Knowledge of Generally Accepted Accounting Principles (GAAP) and standardized financial practices.
- Knowledge of policies, practices, procedures and terminology of assigned function.
- Knowledge of federal, state, and local applicable laws, rules, regulations, and guidelines.
- Knowledge of principles and practices of customer service; modern financial record keeping and bookkeeping and office practices and procedures.
- Knowledge of the capabilities, operating characteristics, and functions of a variety of office automation software, (e.g., database, spreadsheet, work processing, presentation, etc.).
- Skill in problem‑solving and decision‑making, mathematics and arithmetic computations related to maintaining, compiling and reviewing statistical or financial records.
- Skill in the use of computer hardware and software, including Microsoft Office Suite or similar.
- Skill in providing a high‑level of customer service.
- Ability to prepare, maintain and reconcile various complex financial, accounting payroll, statistical auditing and numerical records.
- Ability to communicate clearly and concisely, both orally and in writing.
- Analyze, calculate, consolidate, reconcile and interpret accounting data and identify errors.
- Ability to establish and maintain effective working relationships with those contacted in the course of work and the general public.
Associate’s Degree in Accounting, Finance, or related field, two (2) years of prior work‑related experience will substitute for formal education.
Special QualificationsConsent to chemical substance screening consistent with Federal, State, and City guidelines (Standard City Requirement).
EMPLOYMENT CONDITIONS Physical/Mental DemandsThe work is sedentary and requires exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects.
Exercises independent judgment in planning, coordinating, and performing the steps to complete the work, which is reviewed based on meeting priorities, due dates, efficiency, and soundness of judgment.
