Special Education Secretary/Transportation
Under the direct supervision of the Director of Special Services, provide clerical, secretarial and administrative assistance to the Special Services department and Special Education staff at the school level.
Position PurposeAssist the Director of Special Services and Special Education staff by providing clerical, secretarial and administrative support.
Essential Functions- Perform data manager / system administrator duties for Special Education database systems such as CT-SEDS, managing student records, uploading documents, updating user access and other related tasks.
- Maintain ongoing contact with the PSIS coordinator.
- Maintain caseloads and address information on all in‑district Special Education, 504, Magnet and out‑placed student files for compliance and audits.
- Schedule meetings and parent‑teacher conferences for 504, Magnet and out‑placed students, coordinating with the Special Services Department.
- Coordinate with off‑site storage company Iron Mountain for maintenance of inactive files and responsibly destroy records in accordance with Connecticut State Law.
- Compose correspondence and reports for the Director of Special Services.
- Maintain the daily, weekly and monthly calendar of the Director for coordinating appointments, activities and meetings.
- Respond to inquiries from students, parents, school employees and state agencies (DDS, Social Security Administration, etc.) and maintain an accurate listing of students with parental permission to access Medicaid benefits.
- Act as Transportation Liaison for both in‑district and out‑placed special education students, working with multiple transportation companies and vendors and communicating information to parents.
- Generate Special Education purchase orders, provide budgeting assistance, and resolve billing issues with Regional Educational Support Centers and Finance Department.
- Prepare the CSDE eGrants Management System, calculating projected increases in tuition, transportation and other service contracts.
- Secure pricing information and gather required signatures for outside contracts.
- Generate data and submit the Excess Cost Grant.
- Assist visitors to the office, including students, parents, tutors and others.
- Answer telephone calls and provide information while acting as a liaison between families, community and the school district.
- Distribute incoming mail appropriately and send outgoing mail.
Perform other related duties as assigned to ensure efficient functioning of the Special Services Department.

- Any combination of education and experience providing the required skill and knowledge for successful performance.
- Typical qualifications: high‑school graduation; associate’s degree with coursework in business, math, word processing, office procedures and record keeping preferred; bachelor’s degree preferred.
- Shorthand or speed‑writing skills desirable; office management experience preferred.
This is a Category I Secretary per the Ansonia Federation of Educational Secretaries and Nurses AFT Local 3543, AFT‑CT, AFL‑CIO Contract.
