Overview

StFX University is seeking a Guest Services Coordinator to lead front-line customer service operations at the Saputo Centre. This role provides leadership, training, scheduling, and day-to-day guidance to part-time student staff while ensuring an exceptional experience for members, students, community users, and prospective clients. The Coordinator supports membership and program sales, processes payments and deposits, tracks memberships and program participation, and promotes facility services and programs.

Additional responsibilities include purchasing supplies, resolving customer concerns, implementing measures to enhance safety and satisfaction, and ensuring Guest Services is open and staffed each day. This position plays a key role in supporting client engagement and departmental revenue growth.

Key Responsibilities
  • Deliver exceptional customer service to students, members, program participants, and community users of the facility.
  • Serve as the first point of contact, responding to inquiries in person, by phone, and electronically.
  • Promote and support membership, program, and service sales to enhance client engagement and revenue.
  • Recruit, hire, train, schedule, supervise, and evaluate part-time student employees.
  • Process payroll and conduct staff training sessions and regular performance evaluations.
  • Ensure staff are informed of programming updates and comply with operational, safety, and risk management procedures.
  • Process payments, balance cash, deposits, and electronic funds transfers, and ensure accurate financial records.
  • Maintain and audit membership and payment records using EZFacility and coordinate with the Business Office and Accounts Payable as required.
  • Ensure recreation facilities open and close according to established operating hours and provide front-line coverage when needed.
  • Purchase office supplies and equipment, prepare monthly participation and sales reports, and report accidents, incidents, and operational concerns to supervisors and Security.
Qualifications
  • Diploma or degree in Recreation Management, Business Administration, Sport Management, Hospitality, or a related field; an equivalent combination of education and experience may be considered.
  • Minimum 2–3 years of experience in customer service, recreation, fitness, hospitality, or a related service-oriented environment.
  • Experience supervising, training, scheduling, and evaluating staff, preferably student or part-time employees.
  • Demonstrated ability to provide exceptional customer service and build positive relationships with diverse clients and stakeholders.
  • Experience handling cash, processing payments, reconciling deposits, and maintaining accurate financial records.
  • Strong organizational, administrative, and problem-solving skills with the ability to manage multiple priorities in a fast-paced environment.
  • Proficiency with Microsoft Office applications and experience using membership, recreation, or point-of-sale software systems (e.g., EZFacility) is considered an asset.
  • Knowledge of workplace health and safety practices, risk management principles, and incident reporting procedures, with the ability to work flexible hours as required to support facility operations.
