THE EMPLOYER IS: FRESH MINDS EDUCATIONThe Office Administrator supports the effective day-to-day running of Fresh Minds Education by managing administrative systems, supporting communications, and maintaining accurate records. The role contributes to the smooth delivery of services by ensuring information is organised, enquiries are handled professionally, and internal processes are followed. This post offers experience of working within a busy charitable organisation supporting children, young people, families, and communities across Northern Ireland.
Responsibilities- Supporting administrative tasks including digital filing, data entry, and document preparation.
- Managing email inboxes, responding to routine enquiries and timetabling.
- Updating spreadsheets and basic databases.
- Assisting with appointment scheduling and meeting preparation.
- Supporting record-keeping for programmes, volunteers, and services.
- Maintaining Office H&S and preparing rooms for multi-purpose activities.
- Update, implement and maintain company processes, procedures and policies as required.
- Ensure all FME stock and equipment are accounted for, recorded and reordered as and when required.
- Administrative
Experience:
At least 1 year’s experience in an administrative, office support, or customer service role (paid or voluntary), with evidence of managing routine tasks efficiently. - IT Competence:
Confident in the use of Microsoft Word, Excel, Outlook, and basic digital filing systems (e.g. SharePoint or similar), with the ability to learn new systems quickly. - Organisational & Time Management
Skills:
Able to prioritise tasks, manage competing demands, and maintain organised digital and paper-based systems. - Professional Communication
Skills:
Able to communicate clearly and courteously by email, telephone, and in person when responding to routine enquiries. - Accuracy & Confidentiality:
Demonstrates attention to detail and an understanding of the importance of handling sensitive information appropriately in line with GDPR principles. - English (spoken and written) to understand health and safety instructions.
- Experience in a Charity, Education, or Community Setting:
Previous experience working in a voluntary, community, school, or small organisational environment. - Basic Health & Safety or Safeguarding Awareness:
An understanding of basic office health and safety practices or willingness to undertake relevant training.
