Working Hours:
8am till 4pm Sheffield City Council are seeking a proactive and organised RMS Coordinator to support the Team Leaders within the Responsive Repairs, Planned, HM&E, and Voids teams across the Repairs and Maintenance Service. This role is crucial for aligning resources to operational activities, ensuring high performance and continuous improvement to deliver a customer-focused service. The ideal candidate will thrive in a dynamic office environment, effectively managing scheduling systems and liaising with various internal and external stakeholders.
Day-to-day of the role:
Oversee the assignment of repairs using an electronic diary system, including manual interventions to ensure efficient and cost-effective resource allocation. Manage the scheduling of repairs, maintain accurate records, and redirect operatives' work schedules to urgent jobs as needed. Utilise various IT systems to retrieve, edit, and input information, ensuring accuracy and appropriateness of resource assignments based on operative availability and geographical considerations.
Coordinate with Team Leaders to monitor operative availability, including timesheets and leave, to maintain accurate operational systems for planning works. Handle incoming calls professionally, resolving enquiries by gathering information to make informed decisions about resource assignment. Proactively make outbound calls to resolve issues or update customers and workforce members, including arranging and rearranging property visits. Collaborate with Team Leaders and other officers to monitor and analyse performance indicators and work processes, aiming to increase customer satisfaction and ensure continuous business improvement.
Prepare clear communications and organise personal workload to respond effectively to customer demands and planned work. Required Skills &
Qualifications:
Strong organisational and coordination skills with the ability to manage multiple tasks efficiently. Experience in a similar role, preferably within a repairs and maintenance context. Proficient in using electronic diary and data management systems; experience with specific systems like Salesforce is advantageous. Excellent communication skills, capable of handling both inbound and outbound calls effectively. Ability to work collaboratively in a team and engage with various stakeholders including subcontractors and service users.
