Primary Objective: The primary responsibility of the Assistant Registrar position is to assist with the daily operations of the Registrar’s Office in a way that ensures data integrity and accuracy of the student records system, support the needs of the university community, and facilitate compliance with university policy on confidentiality and the federal Family Educational Rights and Privacy Act.
This position specializes in the critical functions of degree auditing and graduation certification processes. We are looking for a detail-oriented, team-player with strong technical and problem-solving skills to join our committed team. Knowledge of Degree Works and Ellucian Banner are preferred.
This position is full-time, person position.
Job Duties- Student Records Management: Create and maintain student records throughout student record lifecycle. Responsibilities include, but are not limited to updating personal data, processing student status information, managing schedule changes, updating academic record data, processing transfer work, process major and minor declarations, diploma processing, and course creation/registration for special programs.
- Degree Audit Systems Management: Manage the Degree Audit System (Degree Works), including testing functionality, scribing for accuracy, and exception/substitution management.
- Graduation Planning and Support: Regularly manage the degree audit process, communicating proactively with students and academic advisors regarding missing requirements. In partnership with the Registrar, develop and distribute official graduation lists and assist students in navigating their path to degree completion.
- Technical Support and Compliance: Provide technical assistance and troubleshooting support for related software and systems (Banner, Degree Works, etc.). Ensure legal and ethical compliance with federal and state educational laws and guidelines (e.g., FERPA , record retention management, reporting).

Collaboration:
Share operational duties with office staff, including website maintenance, managing the registrar email inbox, answering phone calls, and contributing to large-scale projects. Represent the office on campus committees and events as needed. - Other Duties: Other duties may be assigned within the scope of departmental responsibility by the University Registrar; may include items such as development and delivery of training programs and presentations for staff and faculty, collaborate with campus partners to improve processes and policies to align with university initiatives, and/or other related tasks.
Working Relationships: Work collaboratively with all members of the Registrar’s office, Financial Aid, Student Accounts, Technology Services, Academic Advising, staff, faculty, students, and other member of the Lawrence community.
Knowledge and Skills Required- Bachelor’s degree or equivalent experience working in a registrar’s office
- Strong creative problem-solving, analytical, technical, and interpersonal skills
- Exceptional attention to detail and a commitment to accuracy.
- Ability to communicate complex information in a professional, clear, and concise manner.
- Ability to work both independently and collaboratively in a team-oriented environment.
- Ability to design and manage logical process flows.
- Experience using higher education specific software such as Ellucian Banner and Degree Works (including scribing experience).
- Familiarity with other systems like TES , SQL , and the National Student Clearinghouse.
- Experience using databases and analyzing data for reporting purposes.
- Relevant work experience in a higher education setting, preferably in a registrar or academic advising roles in higher education
- Experience working in a diverse environment
Employment Requirements: Must have successful completion of criminal and MVR background check, meet University Authorized Driver Policy requirements, and favorable completion of reference checks.
