Office Administrator – Greater Baltimore Area

Nations Roof is one of the largest commercial roofing contractors in the U.S., committed to quality, safety, and customer satisfaction. We are seeking a detail‑oriented Office Administrator to support essential office operations in a fast‑paced construction environment.

Location: Halethorpe, MD (Greater Baltimore Area)

Schedule: Monday–Friday, 8:00 AM – 5:00 PM | 100% In‑Office

Position Overview

The Office Administrator plays a key role in managing administrative, HR, and bookkeeping functions, with a strong focus on payroll accuracy. This position requires exceptional organizational skills, attention to detail, and the ability to handle multiple priorities effectively.

Key Responsibilities
  • Process full‑cycle payroll for multiple departments; maintain records and resolve discrepancies.
  • Handle inbound/outbound calls and emails; provide customer service and project updates.
  • Schedule meetings, orientations, and assist with onboarding.
  • Support HR with personnel files and office policy compliance.
  • Prepare subcontractor agreements, purchase orders, and work orders.
  • Track invoices, payments, and deposits; reconcile accounts as needed.
  • Maintain communication with project contacts regarding scheduling and documentation.
  • Assist with lien releases, vendor notices, and compliance documentation.
  • Provide backup support and cross‑train on office functions.
Requirements
  • 3–5 years of administrative experience; construction industry preferred.
  • Hands‑on payroll experience (ADP Workforce Now or similar).
  • Basic accounting/bookkeeping knowledge.
  • Proficiency in Microsoft Office; strong computer skills.
  • Excellent verbal and written communication; ability to interact with executives.
  • Experience with Salesforce or similar CRM systems is a plus.
  • Strong organizational and multitasking abilities; maintain confidentiality.
  • Bachelor’s degree preferred; equivalent experience considered.
  • English fluency required; bilingual (Spanish/English) is a plus.
Base Pay Range

$60,000.00/yr – $75,000.00/yr

Compensation & Benefits
  • Salary: $60,000–$75,000 per year (commensurate with experience).
