Are you an experienced, detail‑oriented administrative professional ready to lead and optimize operations for a high‑performing real estate team? Erica Deuschle & Company is seeking a Real Estate Executive Assistant / Operations Coordinator to support agents, including top producers handling $20M+ in sales annually. In this pivotal role, you’ll own team processes, manage transactions from start to finish, oversee listings, and ensure agents are accountable and efficient.
You’ll be instrumental in maintaining high standards, streamlining operations, and driving results in a fast‑paced, high‑volume environment. This is a chance to take real ownership and make a visible impact on the team’s success.
- Transaction Coordination & Listing Management
- Handle all aspects of property listings from contract to close.
- Ensure all listing information is accurate in MLS and marketing platforms.
- Schedule and coordinate showings, open houses, and inspections.
- Communicate with sellers and buyers to provide updates and guidance.
- CRM & Database Management
- Maintain agent and client records in the CRM.
- Track lead follow‑ups and client communications.
- Generate reports and provide insights to management on team performance.
- Administrative Support
- Screen calls, manage emails, and respond to client inquiries promptly.
- Assist with scheduling, calendars, and internal meetings.
- Manage team documentation, contracts, and files.
- Support onboarding of new agents and team members.
- Team Operations & Process Improvement
- Ensure adherence to established workflows and processes.
- Identify areas for improvement and suggest solutions.
- Help streamline communication and task tracking across the team.
- Support team events, marketing initiatives, and client appreciation programs.
- Technology & Tools
- Be a resource for agents on CRM, project management tools, MLS systems, and other platforms.
- Troubleshoot minor tech issues and assist with training on new tools.
- Accountability & Follow-up
- Monitor deadlines and ensure tasks are completed efficiently.
- Hold agents accountable for timely follow‑ups and deliverables.
- Provide regular updates to Erica and Dave on operational status.
- 2–3+ years of real estate transaction experience.
- Exceptional organizational skills with meticulous attention to detail.
- Strong creative problem‑solving skills and a proactive, solution‑driven approach.
- Ability to work independently, owning processes and supporting a high‑performing team while managing multiple priorities.
- Superior interpersonal skills with excellent written and verbal communication.
- Highly thorough, organized, and passionate about completing to‑do lists.
- Experienced with learning new software and teaching others, including CRM systems, project management tools, Microsoft Office, social media platforms, Google Drive, etc.
- Ability to multitask, prioritize daily workload, and ensure deadlines are met efficiently.
- Positive, proactive "CAN and WILL DO" attitude.
- $60,000 – $70,000 annually.
- Paid Time Off (PTO).
- Bonus potential.
