Overview
The Project Services Coordinator is responsible for supporting Project Services related tasks such as proposal preparation, document controls, time keeping, invoicing support, cost reporting, marketing content creation and technical writing. The Project Services Coordinator will support various tasks related to estimating, project controls, project management, marketing/business development, document controls and contract administration.
Responsibilities- Prepare prequalification packages and Expression of Interest requests.
- Oversee proposal (tender submission) production process.
- Oversee document control for engineering, estimating, contracts and project services.
- Oversee file maintenance and tracking of proposal/client related information.
- Oversee meeting minute production for Commercial Services within the Corporate office.
- Resource for Redpath historical information inquiries, prepare historical write-ups and maintain library.
- Research competitors’ active projects.
- Assist with development of guidelines for the Project Management Office.
- Write procedures/guidelines as related to documentation best practices.
- Create PowerPoint presentations for special functions and Client meetings.
- Compose original writing for proposal related marketing material.
- Assist with wording in corporate profile, including quarterly updates.
- Assist with shareholder reports and other ad-hoc reporting.
- Provide Redpoint training, support, document uploads, etc.
- Maintain logs relating to proposals, clients, etc., including actions items & follow-up.
- Type/edit letters and miscellaneous documents for proposals ensuring correct grammar, spelling and use of contract language.
- Assist other job functions as required.
- High School, GED, and/or higher education.
- Preferred:
Bachelor Degree in Business Administration, Accounting, Marketing, Construction Management, Engineering or related.
- 3 Years related experience with knowledge of contract management, proposal writing, document control, editing, proof reading, invoicing, cost reporting, preferably in a mining or construction environment.
- Proficient in the use of computers and associated software.
- Advanced skills in MS Office (Excel, Outlook, PowerPoint and MS Word)

- Any Doc Control System
- Knowledge of document control procedures and the process of proposal writing.
- Excellent interpersonal skills with an ability to facilitate team commitment
- Excellent written and verbal communication skills (internally and externally) and demonstrated ability to work with Redpath management and clients.
- Ability to multi-task and work effectively.
- Ability to work with multiple department managers
- Knowledge of legal and contract terminology as related to construction and/or mining.
- Ability to prioritize and organize multiple requests.
- Ability to work independently and collaboratively.
- Ability to pass background clearance check, drug screening and physical.
- Ability to understand and follow verbal and written instructions.
- Ability to prepare written reports and correspondence.
- Ability to effectively communicate verbally and in writing.
- Ability to work in a team environment with minimal supervision.
