- Perform administrative duties, including answering telephone calls, taking messages, and providing basic information.
- Enter data in state and federal automated reporting systems and conduct technical reviews of all reports.
- Prepare, process, and distribute federal and state enforcement notification letters and reports.
- Monitor and review survey reports for regulated and unlicensed facilities and finalize CMS certification and transmittals.
- Prepare waiver letters and documents requested under the Freedom of Information Act.
- Maintain regional Survey Management System database and ensure documentation complies with state and federal requirements.
- Enter critical information into databases regarding scheduling, agency visits, and activities for accurate reporting.
- Respond to inquiries and resolve problems or complaints.
- Perform other duties as assigned.
- Attention to detail and ability to perform complex tasks related to federal and state rules.
- Fast comprehension of frequent technical changes.
- Knowledge and experience with the Long‑Term Care Integrated computer system and regional Survey Management System.
- Reading, understanding, and applying program technical procedures for processing surveys and enforcement actions.
- Maintain a high level of confidentiality.
- Computer proficiency and experience using word processing, spreadsheets, and electronic records.
- Telephone etiquette: answering calls, referring callers, and taking messages.
- Experience using a computer and word processing software.
- Experience in organizing, maintaining, or monitoring files, records, or logs.
- Preferred:
Experience with electronic records.
- This position requires up to 25% travel; occasional out-of-town meetings or training sessions.
- May work a compressed workweek of four 10‑hour days.
- All applicants must pass a fingerprint criminal background check.
- Applicants must bring I‑9 documentation on the first day of work for E‑Verify.
- Active or former licensed nursing facility administrators, certified nurse aides, or medication aides are subject to additional licensing checks.
