Essential Job Functions
  • Perform administrative duties, including answering telephone calls, taking messages, and providing basic information.
  • Enter data in state and federal automated reporting systems and conduct technical reviews of all reports.
  • Prepare, process, and distribute federal and state enforcement notification letters and reports.
  • Monitor and review survey reports for regulated and unlicensed facilities and finalize CMS certification and transmittals.
  • Prepare waiver letters and documents requested under the Freedom of Information Act.
  • Maintain regional Survey Management System database and ensure documentation complies with state and federal requirements.
  • Enter critical information into databases regarding scheduling, agency visits, and activities for accurate reporting.
  • Respond to inquiries and resolve problems or complaints.
  • Perform other duties as assigned.
Knowledge, Skills, and Abilities
  • Attention to detail and ability to perform complex tasks related to federal and state rules.
  • Fast comprehension of frequent technical changes.
  • Knowledge and experience with the Long‑Term Care Integrated computer system and regional Survey Management System.
  • Reading, understanding, and applying program technical procedures for processing surveys and enforcement actions.
  • Maintain a high level of confidentiality.
  • Computer proficiency and experience using word processing, spreadsheets, and electronic records.
  • Telephone etiquette: answering calls, referring callers, and taking messages.
Required Experience and qualifications
  • Experience using a computer and word processing software.
  • Experience in organizing, maintaining, or monitoring files, records, or logs.
  • Preferred:
    Experience with electronic records.
Other Information
  • This position requires up to 25% travel; occasional out-of-town meetings or training sessions.
  • May work a compressed workweek of four 10‑hour days.
  • All applicants must pass a fingerprint criminal background check.
