Vice President of Finance

SUMMARY :

Responsible for the overall daily operational activities of the Arlington Convention & Visitors Bureau – Accounting and Finance, Human Resources, Information Technology (IT) and Building Management. Oversees accounting and operations to ensure effectiveness and efficiency; produces financial reports for the Arlington Convention & Visitors Bureau (ACVB), the Arlington Tourism Public Improvement District (ATPID) and the Travel & Sports Legacy Foundation (TSLF);

responsible for support services including general office maintenance. Develops policy and directs and coordinates human resources activities, such as employment, compensation, benefits, training, and employee services. Is responsible for “clean” audits of all companies.

Primarily responsible for oversight of the accounting and financial obligations of the Arlington CVB, the Arlington Tourism Public Improvement District (TPID or as known as ATPID Arlington Tourism Public Improvement District), and the Travel & Sports Legacy Foundation (TSLF). This includes using internal controls over the financial processes.

Produce the financial reports monthly and report the finances to the Leadership Team, the Board’s Financial Committees and to the Board of Directors for each company. Recently, the Accountant has been given the responsibility of producing these reports in an attempt to allow a second person to be able to produce the reports in the event the Vice President of Finance & Administration is not available to produce the reports.

In this case, the financial reports would only have to be reviewed and if needed, revised.

Oversee the filing of tax-related reports (1099s, 990s and other various IRS reports). Currently, the 1099s are produced by the accountant, but the 990s and other various IRS reports are produced by the CPA / Audit firm. It would be considered a plus if the person in this role could produce these reports.

Ensure organizational investment practices comply with all requirements of Public Funds Investment (PFIA), including oversight of investment policies, reporting, training, and authorized investment controls.

Directly assists and provides oversight of annual, independent audits of the ACVB’s and ATPID’s financial audits, including working with the ACVB’s Finance Committee when RFPs are sent out seeking a qualified firm to conduct those annual audit reports. Clean audit opinions each year are required.

Performs annual inventory of all company assets and overseeing the general office operations for accounting. Conducts the budget preparation for the ACVB and ATPID. The TSLF budget is prepared by the Chief Operating Officer and reviewed by the person filling this role.

Prepares monthly financial reports for the ACVB, ATPID and TSLF on an accurate, timely basis with constructive recommendations for improving operating and financial performance and identifying opportunities for more favorable leasing, renting, purchasing and financial arrangements.

Comply with all applicable Federal, State and Local requirements.

Serves as a member of the ACVB’s senior executive leadership team; participates in key decisions pertaining to strategic initiatives and operational execution.

Prepares and maintains regular financial planning reports.

Handles complete analysis of financial results.

Develop recommendations including short-to-medium, and long-term financial plans and projections through use of financial reports and budgets for each entity.

Develop tools and systems to provide critical financial and operational information to the CEO and make actionable recommendations on both strategy and operations.

Approves the purchase of office and computer equipment, leased vehicles and office supplies; maintains accurate inventory and ensures timely maintenance for office equipment and leased vehicle.

Reviews and gives final approval to the Director of Human Resources & Facilities’ coordination in all aspects of the Arlington CVB’s facilities to ensure overall organization and cleanliness, maintenance, adequate…
