Senior Encompass System Administrator

Job Summary

The Senior Encompass System Administrator leverages in-depth knowledge of the loan origination system (LOS) to manage system functionality, vendor relationships and integrations, and core business processes used throughout the loan origination process. This position works with internal and external stakeholders to ensure compliance standards and efficiencies are maintained with the LOS. Works on projects/issues of high complexity and work is highly independent.

This role has an expanded scope of influence, partnering with business leadership, IT, and external vendors to align system capabilities with Planet corporate strategy. The Senior Administrator provides architectural oversight for Encompass and integrated platforms, ensuring scalability, efficiency, and security across the mortgage technology ecosystem.

Essential Duties and Responsibilities

  • Leads external LOS vendor relationships and act as an authority on Encompass configuration. Directs and oversees advanced system customizations, APIs, SDK integrations, workflow automation, and deployment of enterprise-level enhancements. Ensure change control, testing, and adoption strategies are followed.
  • Serves as senior SME and mentor for departmental end-users, system analysts, and administrators. Provides structured training, documentation, and governance standards for Encompass use. Acts as escalation tier for compliance, audit, and investor-related system issues.
  • Maintains awareness of operational changes to ensure system support to maintain compliance with all applicable laws, rules and regulations, investor requirements and standard mortgage practices. Makes strategic recommendations to process improvement and standardization.
  • Leads cross-functional system integration projects, coordinating with IT and vendor partners to optimize interoperability between Encompass, pricing engines, CRM platforms, document management, and compliance tools.
  • Advises junior administrators and business analysts, providing peer review, mentorship, and leadership in best practices for Encompass administration.
  • Other duties as assigned.

Position Requirements

Education

  • Bachelor’s Degree in related field or equivalent work experience
  • High school diploma or GED equivalent required

Experience

  • Minimum seven (7) years' mortgage industry experience, with at least five (5) years directly administering and configuring Encompass LOS.
  • Proven experience leading enterprise-level Encompass configuration projects, including advanced business rules, persona-based workflows, SDK/API integrations, custom input forms, and investor-specific automation.
  • Strong knowledge of mortgage compliance and regulatory requirements (TRID, HMDA, RESPA, etc.).
  • Experience collaborating with IT, compliance, and vendor stakeholders on complex system integration projects.

Functional/Technical

    Expert-level proficiency in Encompass LOS administration, including custom input forms, advanced business rules, SDK development, integrations, and performance optimization.
  • Strong understanding of mortgage technology ecosystem (pricing engines, CRM, imaging systems, compliance tools, secondary marketing systems).
  • Strong project management and organizational skills; ability to lead enterprise initiatives across multiple stakeholders.
  • Ability to work with others and independently as the situation requires.
  • Excellent interpersonal and communication skills, with the ability to present technical solutions to executive and non-technical audiences.
