Our North American branch was established in 2018 and our team is growing rapidly. We are looking for a Business Operations Support Specialist to support operations through collaboration with our warehouse, procurement, and finance teams, ensuring timely delivery, accurate billing, and compliance with company standards.
Who You AreReporting to the Operations Manager, the Business Operations Support Specialist plays a critical role in maintaining smooth and efficient business processes across procurement, inventory management, and logistics. This position requires strong organisational skills, attention to detail, and the ability to manage multiple priorities in a fast‑paced environment.
What You’ll DoOrder Management Duties- Coordinate with sales teams to ensure customers are accurately set up in the system and compliant with company standards.
- Confirm pricing for each customer according to program‑specific pricing lists.
- Accurately input customer orders into the ERP system and verify all details for accuracy.
- Send order acknowledgements and confirmations promptly after order entry.
- Collaborate with sales and warehouse teams to optimise order processing and ensure timely delivery.
- Communicate effectively with customers, internal teams and vendors to resolve issues and maintain smooth operations.
- Create, analyse, and distribute daily and weekly reports to monitor open and in‑fulfilment orders.
- Work with finance on accounts receivable to ensure timely invoice payments and send notices for overdue accounts.
- Maintain data accuracy, integrity and consistency for customer and order‑related information in the ERP system.
- Support and maintain inventory levels in cooperation with the warehouse team and operations manager.
- Coordinate shipments with the operations assistant and warehouse management.
- Prepare and process purchase orders and requisitions for materials and supplies.
- Ensure accurate stock level information is maintained in coordination with procurement.
- Process billing invoices and assist with related documentation.
- College degree or technical diploma.
- Excellent verbal and written communication skills.
- Strong interpersonal and customer‑service skills.
- Exceptional organisational skills and attention to detail.
- Proven time‑management skills with the ability to meet deadlines.
- Strong analytical and problem‑solving abilities.
- Ability to prioritise tasks effectively.
- Proficiency with Microsoft Office Suite.
- Experience with SAP
