Position: Aesthetic Care Coordinator for a Multi-Location Plastic Surgery Practice

Overview:
Nova Plastic Surgery and Dermatology is seeking an experienced, professional, and organized Aesthetic Care Coordinator to join our team. This full-time position offers the opportunity to work in a fast-paced, dynamic environment where you will play a critical role in ensuring a smooth, efficient, and exceptional patient experience. As the first point of contact for patients, your professionalism and attention to detail will set the tone for their experience with our practice.

Key Responsibilities:

  • Answer a multiple-line phone system, directing calls, and providing excellent customer service to patients and callers.
  • Schedule appointments for providers across all locations
  • Convert new leads into appointments and ensure proper follow-up on potential patients.
  • Maintain an organized, efficient, and pristine front office environment.
  • Support front office tasks such as patient check-in/check-out, collecting payments, and ensuring proper documentation.
  • Collaborate with other team members to ensure smooth daily operations and excellent patient care.
  • Maintain confidentiality and adhere to all HIPAA and compliance standards.

Required Qualifications:

  • Associate's degree or 5+ years in a similar role
  • Prior experience in a medical front office, receptionist, or administrative role.
  • Excellent verbal and written communication skills.
  • Ability to multitask in a fast-paced environment.
  • Strong attention to detail, with the ability to prioritize tasks.
  • Professional demeanor and appearance with a customer-focused attitude.
  • Experience with scheduling software or electronic medical records (EMR) systems is preferred.
  • Ability to handle a high volume of phone calls and manage patient requests with efficiency.

Work Environment:

  • Fast-paced, patient-focused environment.
  • Must be comfortable working in both Nova Plastic Surgery and Dermatology and Skin Lab locations and upcoming locations in Northern Virginia
  • Strong emphasis on a positive, professional, and supportive team dynamic.

Additional Requirements:

  • Must be available to work weekends
  • Strong commitment to providing a high level of patient experience and care.
