We are looking for a proactive and organised Facilities Assistant to join our Estates & Facilities team. As the first point of contact for colleagues, visitors and contractors, you will play a vital role in ensuring smooth day-to-day operation, providing professional front‑of‑house support while assisting with facilities administration, site coordination and workplace services.
Key responsibilities- Direct support to the Facilities Manager
- Support the Head of Estates and Facilities with mobilisation and operational setup of services on a new start‑up project
- Update maintenance or CAFM systems with completed tasks (Top Desk Reporting Portal)
- Support tasks such as raising purchase orders and managing suppliers
- Maintain accurate records, logs and compliance documentation
- Monitor and report progress against mobilisation objectives, escalating risks or delays to the Head of Estates and Facilities as required
- Help ensure a consistent Estates and Facilities service model is embedded across the new site and existing organisational locations
- Previous administration experience
- Excellent communication and customer service skills
- Experience using IT systems, spreadsheets and reporting tools
- Strong organisational skills and attention to detail
- Ability to work independently and as part of a team
- Proactive approach and ability to prioritise competing tasks
- Experience in a reception or facilities support role
- Administration experience within healthcare, estates or facilities environments
- Full driving licence
- Salary of £25,740.00 per annum
