Schedule:

Monday – Friday, 8:00 am – 5:00 pm

Minimum Qualifications
  • High school diploma or equivalent

  • Baccalaureate degree or at least three years of previous administrative experience.
Position Summary

This is a highly responsible professional position in the Graduate School Dean’s Office. The incumbent will be responsible for ordering supplies and maintaining purchasing records, assisting employees with building maintenance issues, overseeing conference room reservations, and providing backup administrative support for the Dean’s Office Group. The role also serves as the Graduate School’s liaison for Telephone Services, Asset Management, and Facilities Management Division, and duties are performed under the general supervision of the Executive Assistant.

Duties and Responsibilities
  • Provide administrative support in managing daily operations.
  • Order office and break room supplies.
  • Maintain records related to purchasing of supplies throughout the Graduate School to ensure compliance with regulations, policies, and procedures of the Graduate School, UGA, and USG.
  • Process incoming/outgoing mail.
  • Coordinate reservation requests for the Brooks conference room (including AV systems).
  • Manage the Graduate School’s storage spaces, maintain inventory of items, and oversee their use to prevent waste.
  • Serve as Asset Management Officer – conduct annual inventory; report changes on the Inventory Master Copy; process items for surplus, transfer, or off‑campus use with Property Control.
  • Act as liaison for graduate student poster printing requests with the Tate Center Printing Services, where funding is provided by the Graduate School.
  • Serve as Telephone Services Representative, handling all telephone needs.
  • Serve as Building Liaison for Facilities Management Department (FMD) maintenance issues, submit work orders, and communicate building‑wide announcements via email.
  • Provide back‑up administrative support for the Vice Provost for Graduation Education/Dean of the Graduate School, Executive Assistant, and Dean’s Office Group.
  • Assist the Events Coordinator with Graduate School events such as 3MT, Commencement, Graduate Student Appreciation Week, etc.
  • Manage identification/selection of end‑of‑year promotional items for Graduate School use at events, recruitment, student appreciation, etc.
