Position Summary

This position supports the administrative functions of the Genetics Department and provides the Department’s interface with the public, students, university administrators, faculty, and other staff. Working with the department head and the administrative manager, the assistant to the department head will manage multiple priorities and projects and demonstrate creativity, flexibility, self‑motivation, and strong problem solving, analysis and communication skills. He/She will demonstrate the ability to think creatively, analytically, strategically and have verified leadership skills with the ability to work independently and as part of a team.

This position will provide administrative support to the Genetics department using various programs in the Microsoft Office suite.

Responsibilities
  • Administrative Assistance to the Department Head (20%) – Serves as key administrative support to the Department Head. Initiates and composes correspondence and coordinates logistics of projects and initiatives on behalf of the Head. Screens telephone calls, receives messages, schedules appointments and meetings, answers various correspondence for the Department Head, and provides information and/or instruction on the Genetics department website.
  • Faculty Affairs and Recruitment (40%) – Utilizes UGAJobs to post vacant faculty positions, reclassify existing positions or create new positions. Coordinates all new hires and termination paperwork. Assures all employees have completed orientation, ethics training, and other required training. Creates secure, confidential personnel files, completes EEO and other forms, coordinates travel for faculty candidates, and compiles data for evaluations, tenure dossiers, and program review materials.
  • Event Management (25%) – Schedules faculty meetings, reserves rooms, sends calendar invites and reminders, records minutes, archives or distributes them, and coordinates logistics for faculty retreats and seminar series, including vendor booking and payment processing.
  • Departmental Personnel Database and Bulletin Board (10%) – Maintains accurate personnel spreadsheet, updates bulletin board photos and information, and manages departmental listservs.
  • General Departmental Support (5%) – Provides customer service, consults on special projects, and supports faculty as directed, ensuring professional and ethical conduct.
Minimum Qualifications
  • High school diploma or equivalent and 2 years of related experience.
Knowledge, Skills, and Abilities
  • Coordinating and managing multiple projects efficiently with priority management.
  • Substantially developed interpersonal and teamwork skills.
  • Excellent written and verbal communication skills with tact, confidentiality, sound judgment, diplomacy, and flexibility.
  • Excellent proofreading and editing skills.
  • Proficiency in Microsoft Office Suite and Adobe.
Physical Demands

Routine office work: sit and work at a computer all day.
