Administrative Assistant – Inside Higher Ed
The Upward Bound Administrative Assistant supports program operations during the academic year and summer components by coordinating tutoring schedules, maintaining student and tutor records, and assisting with program planning. Responsibilities include compiling data for federal reporting, managing the BLUMEN database, and providing responsive support to students, parents, and school staff. The role requires strong organizational and communication skills, and proficiency with word processing, databases, office equipment, and social media platforms.
Responsibilities- Coordinate tutoring schedules and maintain student and tutor records.
- Compile data for the Upward Bound Annual Performance Report for the Department of Education.
- Manage and input data into the BLUMEN database for program participants.
- Maintain records and coordinate tutor schedules.
- Plan and oversee operations for three federally funded grants, including requisitioning materials and accurate inventory.
- Type, edit, and proofread documents; attend and take minutes at staff meetings.
- Prepare correspondences and final documents.
- Maintain and oversee three program electronic databases and hard copy files for reporting to USDE and state/federal resources.
- Schedule summer classes, workshops, and conferences for participants.
- Coordinate clerical support for professional staff, receive and screen mail, arrange meetings with UGA personnel, external partners, and stakeholders.
- Assist with staff travel documents, professional development, committees, presentations, and events.
- High school diploma or equivalent.
- At least two years of administrative support experience.
- Good organizational, typing, computer, interpersonal, and communication skills.
- Proficiency in word processing and database systems.
- Knowledge of common office equipment and social media platforms.
- Experience with TRIO Upward Bound programs.
- Experience managing federal grant reporting.
Ability to work in an office environment; sit at a computer for long periods; lift boxes of files.
Position is not a driving role.
Position has direct interaction with minors and requires security access.
