Job Summary

This position will provide high‑level administrative support to the Executive Vice President for Philanthropy and Alumni Engagement. It is a highly responsible role that involves confidential and sensitive information, independent judgment, and discretion. The incumbent will interface with senior leadership on campus and with external constituents such as foundation board members, donors, community partners, and volunteers. Managerial duties include coordinating and leading PAE Administrative Assistants, workload oversight, and participation in the hiring process of Administrative Assistants.

Responsibilities

The responsibilities include, but are not limited to:

  • Coordinate and streamline activities and strategic planning support based on the priorities of the Executive Vice President for Philanthropy and Alumni Engagement.
  • Handle exclusive executive‑level duties, including scheduling meetings and appointments, managing calendars, coordinating travel, and processing reimbursements and invoices.
  • Plan, manage, and maintain detailed records and documentation of special projects and submit progress reports as assigned.
  • Use resources to address complex and confidential situations in a timely manner.
  • Respond to inquiries and refer situations to appropriate staff or units for confidential handling.
  • Manage personnel and central office budget to free the EVP for campaign and fundraising priorities.
  • Recruit, select, orient, and supervise administrative staff; communicate job expectations and provide training and development opportunities.
  • Draft and compose correspondence, presentations, and reports; review reports for the EVP and others.
  • Coordinate high‑level division meetings and external meetings, including donor briefings and campus visits.
  • Maintain confidential administrative, fiscal, and division records; develop and communicate policies and procedures.
  • Perform other related duties as assigned.
Required Qualifications

Bachelor’s degree from an accredited college or university and three years of progressively responsible administrative support experience.
OR
Associate’s degree from an accredited college or university and six years of directly applicable experience.

Preferred Qualifications

Bachelor’s degree with four years of progressively responsible administrative/management support; familiarity with institutional structure, the University System structure, Board of Regents; experience with accounting and budget preparation is a plus.

Knowledge, Skills, & Abilities
  • Technical Proficiency: Proficient in Outlook, Word, PowerPoint, Adobe, Docu Sign; high competency in Excel and database management; experience with Raiser’s Edge, ODDER, and Thank View desirable.
  • Confidentiality & Discretion: Skilled at handling sensitive information and navigating confidential or challenging situations.
  • Organization & Attention to Detail: Exceptional organizational skills; ability to prioritize and manage multiple projects simultaneously; meticulousness in documentation.
  • Professional Communication: Exceptional written and oral communication skills; expertise in grammar, editing, and crafting professional documents; ability to foster positive relationships with donors and stakeholders.
