Job Summary:
This position performs responsible administrative and secretarial duties of a complex and confidential nature in support of a Vice President, the Provost, or Dean to relieve supervisor of varied clerical and administrative responsibilities.
- Coordinates the daily operation of administrative and medical staff, assuring compliance to all Augusta University policy and procedures, as well as the Georgia Department of Veterans Service, Georgia Department of Community Health, and The Joint Commission requirements.
- Manages administrative projects in relation to the mission/vision of GWVNH for Executive Director, Associate Director, and Medical Director; coordinates and communicates with all Department Heads.
- Maintains all personnel actions and confidential files; verifies documentation to HR and ensures compliance with Occupation Health.
- Assists in the preparation of AU and DVS budgets; serves as a facility IT Security Administrator and coordinates all IT purchases.
- Collects and analyzes compliance data; maintains current licenses and contracts for professional staff, and coordinates with regulators.
- Maintains calendars and schedules for executives; coordinates weekly/monthly meetings and other facility meetings.
- Manages confidential correspondence; responds to sensitive information regarding resident/patient inquiries, facility complaints, and staff communications.
- Oversees facility IT needs, provides training, and serves as IT security administrator.
- Interprets and analyzes budget documents for two budgets annually; prepares financial documentation and makes recommendation on equipment purchases.
- Maintains data and produces monthly and annual reports; compiles and publishes the facility annual report.
- Participates in weekly meetings as a member of the Department Head committee; prepares and maintains meeting minutes.
- Assists in developing facility policies and forms; maintains policy manuals on the network BOX shared drive.
- Prepares program handouts, updates newsletters, and edits the facility Vet Com.
- Performs other job‑related duties as assigned.
- Either a Bachelor’s degree from an accredited college or university and two years of progressively responsible administrative support experience;
- OR an Associate’s degree and five years of directly applicable experience;
- OR a high school diploma, GED, or equivalent and eight years of directly applicable experience.
- Five years of extensive computer and MS Office experience (Word, Excel, Publisher, Access, Outlook).
- Experience in office management in a health care facility.
- Extensive knowledge of AU policies, Georgia DVS organization, People Soft and OneUSG systems.
- Knowledge: Proficient in Microsoft Office and other computer software/databases.
- Skills: Excellent interpersonal, written and verbal communication skills; detail‑oriented with strong organizational, prioritization, and multi‑tasking skills.
- Abilities: Ability to maintain confidentiality.
