This position will be based at the DCG Savannah Campus and provides administrative support to the Associate Dean of Extramural Clinics, performing duties of a complex and confidential nature, including but not limited to visitor reception, telephone coverage, correspondence, documentation preparation, reserving classrooms, coordinating with classroom services, assisting with appointments, travel, and expense reimbursement, accounting, filing, various project assistance, and other duties as assigned.
This position requires a high degree of professionalism, organizational skills, and the ability to handle sensitive information with integrity.
- Provide advanced administrative support to the Associate Dean of Extramural Clinics (ADEC) and Vice Dean of DCG Savannah Campus, including managing calendars, emails, meeting schedules, and document preparation.
- Arrange travel and expense documentation for Associates and Vice Deans, ensuring timely completion of travel authorization, receipts, and reimbursement paperwork.
- Order office supplies, track projects, and maintain confidential records.
- Coordinate onboarding processes for new staff.
- Assist in coordinating and implementing clinical activities at the Augusta site and DCG Savannah campus, including clerkship rotations, hygiene clinics, and new clinic site development.
- Support quality assurance and compliance initiatives within extramural clinical sites, and assist in CODA compliance training for students.
- Directly manage day‑to‑day operations of the administrative office, ensuring efficient coverage and resource usage.
- Oversee recruitment efforts on behalf of the Associate and Vice Dean, hosting interviews with executive search consultants.
- Provide project assistance, drafting reports, and supporting grant proposals and course materials.
- Monitor budget expenditure, process reimbursements, and prepare budget reports for the Savannah Campus and its departments.
- Act as liaison between the Associate Dean and Vice Dean of Savannah and other departments, faculty, staff, and external agencies.
- Perform all other job‑related duties as assigned.
- Associate's degree from an accredited college or university in a related field and a minimum of four years of progressively responsible experience in administrative support positions.
- OR high school diploma, GED, or equivalent and seven years of progressively responsible experience in administrative support positions.
- Bachelor's Degree is preferred.
- Experience with database software (e.g., Banner).
- Additional related experience.
- Proficient computer skills in Word, Excel, Outlook, Adobe Acrobat, Banner, PowerPoint, Compliance Assist, eCurriculum, and Qualtrics.
- Working knowledge of policies and procedures.
- Excellent customer service skills and communication, including telephone.
- Ability to maintain confidentiality, multitask, proofread with high accuracy, and reconcile bank accounts.
- Proficient in composing, formatting, and editing correspondence and documents.
- Rapidly learn new software.
- Interact effectively with faculty, staff, students, residents, deans, and external callers and visitors.
