Job Summary

This position provides administrative support to the division of Rheumatology faculty, Business Manager, and fellows. It serves as the fellowship coordinator for Rheumatology and grant coordinator for Rheumatology Research, and supports physicians and fellows with publications and web page management.

Responsibilities
  • Administrative:
    Division Chief support & Rheum Faculty Support—calendar management; assist with correspondence, evaluations, recruitment; phone answering, PowerPoint, visitor direction; curriculum inventory; observership paperwork; resident and student rotation coordination; travel coordination; clinic cancellation paperwork; call schedule and Qgenda management; OPPE management;
    Faculty Evaluations (PACT system).
  • Grant Coordinator:
    Coordinate Rheumatology Research grant submissions (Pre‑Award); monitor grant funding with Business Manager; manage NIH, DOD, R01, R21, KO8 submissions.
  • Post Award:
    Monitor grant funding and subcontracts; arrange club meetings, club travel for ASBMR, NIH & TBN; coordinate club activities; arrange defense meetings with CTO office & PI; support data analyst.
  • Fellowship Coordinator:
    Create and maintain interview schedules; pre‑screen applicants via ERAS; manage interview invitations/scheduling; coordinate with Program Director for Match List; respond to inquiries; onboard new fellows; maintain duty hour records; manage ACGME re‑accreditation records; respond to verification requests.
  • Publications:
    Assist faculty and fellows with up to 15 publications per year; manage End Note applications.
  • Webpage:
    Manage Rheumatology webpage.
  • Other:
    Perform job‑related duties as assigned.
Required Qualifications
  • Associate's degree from an accredited college or university in a related field and four years of progressively responsible administrative support experience.
  • OR High school diploma/GED and seven years of progressively responsible administrative support experience.
Knowledge, Skills & Abilities
  • Ability to maintain confidentiality.
  • Excellent interpersonal, verbal, and written communication skills.
  • Detail‑oriented with strong prioritization and organizational skills.
  • Proficient in Microsoft Office and other computer software/databases.
Shift/Salary/Benefits
  • Shift: Days, M‑F.
  • Pay Band: B5.
  • Salary Range: $17.88–$21.92 per hour.
  • Recruitment Period: 7/25/25 – Until Filled.
