Position: Receptionist - Monday - Friday 8:30 - 5:00 PM

Position Summary

Under the direct supervision of community administration, the Receptionist provides telephone coverage, greets the public, visitors, applicants, staff, and residents/patients of the facility, and provides general clerical and office support. Responsibilities include typing correspondence, sorting and distributing mail, maintaining files, scheduling meetings or activities, and performing related clerical duties. The Receptionist also responds to resident emergencies as needed.

Key Responsibilities
  • Greets visitors, determines name and nature of business, and refers to the appropriate department or employee.
  • Provides information to visitors, applicants, potential residents/patients and family members. Answers calls pleasantly and in a timely manner, transfers calls to the appropriate party, uses the paging system as needed, and delivers clear messages.
  • Sets up files and files general correspondence to ensure information remains organized and is easily retrieved.
  • Processes incoming mail by opening, dating, and distributing it to appropriate employees; prepares and mails outgoing correspondence and information.
  • Responds to resident and facility emergencies following Emergency and Disaster policies; responds to fire alarms.
  • Utilizes standard office equipment including copier and fax machines. Performs typing and clerical duties as assigned by administration; maintains logs and other clerical duties.
  • Generates routine reports by determining user needs and by collecting and organizing data to provide accurate and complete reports.
  • Co‑ordinates or schedules regular or intermittent activities or meetings, special events, and maintains vacation schedules and back‑up coverage.
  • Orders and maintains office supplies and forms by periodically checking inventories, completing purchase requisitions, and ensuring accurate orders are received.
  • Performs additional responsibilities assigned as required.
Minimum Qualifications
  • High School Diploma or equivalent.
  • Two (2) years of clerical, reception, or secretarial experience.
  • Previous experience with a switchboard or multi‑line telephone system.
  • Proficiency with various computer software applications;
    Microsoft Office products preferred. Ability to type at least 35 words per minute may be required.
  • Excellent telephone and interpersonal skills; able to deal with all levels and abilities of callers.
  • Ability to read, write, and follow written and oral instructions in English fluently.
  • Experience in a retirement community preferred.
