Job Summary
The Administrative Assistant I provides comprehensive administrative, operational, and financial support to the Director and staff of the Academic Success Center (ASC), a multi‑location unit serving 13 colleges. The role ensures efficient day‑to‑day operation of the ASC by managing front‑office functions, coordinating purchasing and payroll processes, maintaining office continuity, and supporting program logistics and event coordination.
Responsibilities- Primary administrative support to the Director and ASC leadership team: schedule meetings, manage calendars, coordinate appointments, prepare materials.
- Oversee daily office operations across two primary locations and one satellite site, ensuring consistency and efficiency.
- Provide frontline service to students, faculty, staff, and external stakeholders via in‑person, phone, and email interactions.
- Manage departmental communications, including the ASC email account, correspondence, and recordkeeping.
- Process paperwork for travel, purchasing, payroll, and other administrative documentation; maintain office supplies and coordinate mail distribution.
- Support program and event logistics—room reservations, catering, VIP accommodations—collaborating with ASC staff.
- Assist the Director and Assistant Director with planning, reporting, and operational initiatives; compile and analyze data for institutional reporting.
- Support student employees and volunteers: track timekeeping, Federal Work‑Study allocations, performance documentation; assist with recruiting, onboarding, and maintaining accurate employment records.
- Provide additional administrative or project support as directed to advance ASC initiatives and ensure operational continuity.
- Perform all other duties as assigned.
Associate’s degree from an accredited college or university in a related field and a minimum of three years of progressively responsible experience in administrative support positions, OR high school diploma, GED, or equivalent from a recognized State or Federal accrediting organization and six years of progressively responsible experience in administrative support positions.
Preferred QualificationsBachelor’s degree from an accredited college or university with experience in marketing, event planning, human resources, and/or customer service.

- Ability to manage multiple tasks efficiently and work independently and collaboratively in a fast‑paced, student‑focused environment.

Shift: Days; M‑F
Pay Band: B2
Salary: $15.77–$18.89 per hour, commensurate with qualifications within the established range.
