Department Chair Assistant

This position is the assistant to the Chair of the Department of Neuroscience & Regenerative Medicine and responsible for ensuring compliance with institutional, state, and federal regulations. This position requires a high level of discretion due to confidential data of faculty, students, and staff.

The duties include but are not limited to:

  • Department Chair Assistant:
    Coordinate all activities for the Department Chair, including coordinating and scheduling meetings, travel arrangements, responsible for handling confidential department information.
  • Faculty Evaluation, Promotion and Tenure:
    Oversees annual faculty evaluation and promotion and tenure applications for 26 faculty. Collect and compile data and appropriate forms for annual evaluations. Work directly with faculty to compile P&T portfolios using the newly implemented Interfolio system.
  • Faculty Candidate Visits:
    Manage and coordinate faculty recruitment visits. Create itineraries, coordinate and schedule travel, etc.
  • Coordinate Meetings:
    Coordinate departmental faculty and committee meetings. Oversee all aspects of annual symposium and retreats, arranging venue, coordinate external speaker travel and itineraries, invitations, catering arrangement, etc.
  • Guest Visits:
    Assist with seminar series for the department. Assign speakers, prepare itineraries, coordinate their travel, honorarium, and travel expenses.
  • Travel and OA1:
    Prepare travel authorizations and travel expense statements adhering to current regulations. Prepare OA1 and OA2 documents for all faculty.
  • Other:
    Perform other duties as assigned.

Required Qualifications:

Associates degree from an accredited college or university in a related field and a minimum of four years of progressively responsible experience in administrative support positions. OR High school diploma/GED from a recognized State or Federal accrediting organization and seven years progressively responsible experience in administrative support positions.

Knowledge, Skills, & Abilities:

KNOWLEDGE Proficient in Microsoft Office and other computer software/databases. SKILLS Excellent interpersonal, written, and verbal communication skills. Detail-oriented with strong prioritization and organizational skills. ABILITIES Ability to maintain confidentiality.

Shift: Days; M-F Pay Band: B5 Salary Minimum: $17.88/hourly Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position This position is (fully/partially) funded through external sources. Continued employment is contingent upon the availability of these funds. Recruitment Period:

Final candidates will be required to provide proof of completed academic degree(s) as well as post-secondary coursework in the form of original transcript(s). Those candidates trained by a foreign institution will also be required to provide an educational/credential evaluation.
