Job Summary
DCG requires staff to deliver high-quality customer service. The incumbent represents a friendly, welcoming customer service atmosphere and must deliver professional service in person and over the phone to patients, providers, and staff. Responsibilities include patient registration in the Axi Um system, scheduling coordination to maximize provider production, check-in/check-out processes, payment posting, handling inquiries from new patients, appointment confirmations and rescheduling, and assisting with patient account analysis while maintaining DCG customer service standards.
Responsibilities
- SCHEDULE: Maintain a productive provider schedule to meet practice production and financial goals. Manage recall lists and keep patients informed of policies during scheduling. Prioritize same-day appointments.
- COMPLIANCE WITH CUSTOMER SERVICE STANDARDS: Provide friendly, consistent customer service to patients, providers, and staff in person and by phone.
- CUSTOMER SERVICE: Greet patients, assist with check-in, update information, verify insurance, accept and post payments, and ensure next appointments or recalls are scheduled.
- ADMINISTRATIVE DUTIES: Register patients in the Axi Um system and send new patient welcome letters.
- APPOINTMENTS AND REFERRALS: Reschedule as needed, manage referrals, schedule referral appointments, and monitor status.
- GENERAL OFFICE DUTIES: Answer incoming calls, handle patient inquiries, and assist with scheduling or redirecting calls as appropriate.
- REPORTS: Generate reports in Axi Um on unscheduled treatments and recall lists; perform mail merges for patient management.
- PATIENT ACCOUNTS: Help patients access account information and resolve discrepancies.
- RECONCILIATION: Balance daily payments.
- OTHER DUTIES: Perform other job-related duties as assigned.
Qualifications
Required
- Associate's degree from an accredited college or university, or
- High school diploma, GED, or equivalent with two years of relevant experience. Must provide high-level customer service.
Preferred
- Front office experience in a multi-provider dental practice
- Knowledge of dental procedures and terminology
- Extensive customer service experience/training
- Experience managing patient schedules;
Spanish language ability a plus
Knowledge, Skills & Abilities
- Knowledge: Coordinate and schedule appointments to maximize provider production; greet patients, verify information at check-in, and post payments; computer proficiency (Excel and Word).
- Skills: Excellent customer service, strong communication, organizational skills, accuracy, and problem-solving.
- Abilities: Maintain confidentiality; meet deadlines; work independently and as part of a team.
