Office Experience Coordinator – Hello Fresh
In this role, you will support key clerical and organization initiatives at our Distribution Center to enhance the overall in‑office employee experience. You will be the primary source of support for our team, managing everything from office amenities and facilities to ensuring a welcoming, well‑organized, and energizing work environment.
Responsibilities- Accurately track and reconcile purchases, adhere to budget and spending policy, and execute site indirect spend for office supplies, snacks, catering, and general supplies.
- Run morning setup: reset conference rooms and office furniture, stock supplies and snacks, conduct space walk‑throughs; manage incoming/outgoing mail and office deliveries.
- Spot inefficiencies, design and manage process improvements, and partner on projects aimed at improving processes and procedures.
- Build and streamline local site programs to support an inclusive environment, promoting effective two‑way communication using various vehicles (TV, video, flyers, text, postings, in‑person meetings).
- Support the Culture & Engagement Team in setting up and executing programming such as recognition, two‑way communication initiatives, growth and wellness, and more.
- Collaborate with Operations and local HR teams to ensure processes operate efficiently and support employee experience improvements.
- Assist with ad‑hoc projects as needed.
- Self‑starter who works independently and aggressively seeks to improve existing processes.
- High standards for aesthetics and organization; keen eye for detail.
- Comfort with hands‑on work, physically and figuratively.
- Customer‑focused mindset – every on‑site employee is your customer.
- Strong verbal and written communication skills.
- Physical requirements:
lift up to 30 pounds without assistance; stand or walk for prolonged periods. - Minimum age 18.
- 2+ years in an office coordinator, customer service, or assistant role.
- 2+ years Employee Engagement experience.
- Proficiency with Excel and/or Google Sheets.
- High degree of professionalism and adherence to safety and PPE policies.
- GED/High School diploma required.
