Scheduling Coordinator role at The Alden Network

Overview

The Scheduling Coordinator oversees the coordination of nurse and CNA staffing schedules. This role collaborates with facility clinical leadership, nurses, and CNAs to fill shifts and monitor staffing effectiveness and efficiency. The Medical Secretary assists in communicating daily nursing operational tasks to the DON.

Responsibilities
  • Complete all staffing schedules (monthly, weekly, and daily).
  • Meet with the DON/ADON to review staffing goals and needs; review the monthly schedule and weekly openings.
  • Communicate with facility nurses and CNAs to secure scheduling commitments; handle schedule changes (tardiness, call-offs) and adjust to ensure coverage.
  • Update the DON/ADON as shifts are filled and ensure staffing schedules and vacancies are posted.
  • Check vacancies daily to identify requested vacant shifts and ensure at least 1 RN provides daily coverage.
  • Post the Daily Staffing Posting in the lobby and coordinate with Facility Administration on staffing options (e.g., Activity Aides who are CNAs).
  • Collaborate with Facility Administration and the DON/ADON on RA duties; coordinate with the Business Office Manager on recruitment opportunities.
  • Attend nursing-related job fairs and conduct preliminary interviews for CNA, Wound Care Tech, Resident Safety Tech, RAs, and Restorative Aide candidates when necessary.
  • Monitor POC compliance and communicate concerns to the DON/ADON; maintain a weekly record of filled shifts.
  • Participate in staffing meetings; file and store staffing assignment sheets with real-time adjustments.
  • Work with union representatives when applicable to minimize conflicts or grievances.
  • Provide education, training, and competencies for CNAs and RAs; support staff retention and engagement initiatives with leadership.
  • Serve as Manager on Duty on weekends, evenings, or holidays as scheduled; coordinate with restorative and wound departments to ensure program needs are met with proper documentation.
Qualifications
  • Must have been a Certified Nursing Assistant with at least one year of current experience in long-term care, unless already serving in the role. All hires after 1/2022 must be CNAs.
  • Demonstrates full competency in CNA responsibilities (if a CNA) and leadership/supervisory ability with a collaborative approach.
  • Ability to multitask and manage day-to-day functions alongside scheduling duties.
  • Strong communication and teamwork skills; ability to teach and validate CNA skills (if applicable).
  • Demonstrates interest in resident care and staff retention; able to make independent decisions when warranted and to interact tactfully at all levels.
  • Directs staffing needs in collaboration with DON/ADON and Administrator; ensures adherence to staffing processes and policies.
Physical requirements
  • Must be able to move intermittently throughout the workday and cope with the mental and emotional stress of the position.
  • Must possess adequate sight/hearing or use prosthetics to perform duties; good general health and emotional stability.
  • Ability to relate well to ill, disabled, elderly residents and handle challenging interactions.
  • Must be able to stand, walk, and perform necessary physical tasks; able to push, pull, and lift 25 pounds for 25 feet.
