Summary

The Office Manager is responsible for organizing and coordinating office administration to ensure organizational effectiveness, efficiency, and safety. The Office Manager is responsible for developing intra‑office communication protocols, streamlining administrative procedures, and inventory control. The Office Manager shall be an energetic professional who doesn’t mind wearing multiple hats. Experienced in handling a wide range of administrative and executive support related tasks and able to work independently with little or no supervision.

Well organized, flexible and feels called of God to aid in the administrative challenges of supporting an office of diverse people.

Duties
  • Organize office operations and procedures
  • Provide general support to staff, parents, students, and visitors
  • Manage executives’ schedules, calendars, and appointments
  • Coordinate schedules, appointments, and bookings
  • Responsible for managing office services by ensuring office operations and procedures are organized, correspondences are controlled, filing systems are designed, supply requisitions are reviewed and approved
  • Ensure filing systems are maintained and current
  • Ensure security, integrity, and confidentiality of data
  • Monitor and maintain office supplies inventory
  • Handle customer inquiries and complaints where possible
  • Maintain a safe and secure working environment
  • Assist students, teachers, administrators, and staff in obtaining emergency medical care.
  • Contribute to the spiritual growth of the school by example, personal and professional studies, and personal devotions and worship.
  • Cooperate with the teachers and administration in implementing all policies, procedures, and directives governing the operation of the school.
  • Develop and maintain rapport with students, parents, and staff.
  • Assist in maintaining clean, safe, and well‑ordered environments by complying with procedures, rules, and regulations.
  • Monitor, supervise, and, at times, participate with students on school grounds throughout the school day.
  • Motivate students to accept God’s gift of salvation and help them grow in their faith and self‑worth in Christ.
  • Perform any other duties that may be assigned by the administration.
  • Refuse to use or circulate confidential information inappropriately.
  • Maintain a teachable attitude.
  • Assist in ensuring the safety and efficient operation of the school.
  • Ensures are classrooms are equipped with necessary supplies for instruction.
  • Works with the teachers to maintain inventory of supplies.
  • Fire Drill or Emergency Evacuation:
    The Office Manager must be able to assist teachers to gather students (when required) together on the parking lot into a cohesive unit and be able to move the children from an area on the parking lot to and into a building. Assist teacher to maintain record of each child’s whereabouts during the drill or evacuation.
  • Summoning Help:
    The Office Manager must be able to quickly summon help when an emergency arises, including but not limited to, in the classroom, cafetorium, media center, science lab, flex space, or on the playground.
Qualifications
  • High School Diploma or higher
  • Believe that the Bible is God's Word and is authoritative on all matters of which it speaks.
  • Understand and implement BFTS (Bright from the Start-DECAL) Rules and Regulations
  • Should have knowledge of office procedures and use of office equipment.
  • Must have the ability to communicate accurately and clearly both orally and in writing; pleasant telephone manner; able to think on feet when dealing with callers and customer service oriented.
  • Knowledge of computers; specifically, experience in Microsoft Office is preferable.
  • Must have superior organizational skills and accuracy.
  • Excellent problem solving and people skills also required.
  • Strong oral and written communication.

  • Schedule:

    9:30am-6:30pm (Monday-Friday) with a 1-hour duty free lunch break
