Accounts Payable Specialist

Description We are looking for a detail-oriented Accounts Payable Specialist to join our team in Austin, Texas. This Contract to permanent position offers an excellent opportunity to work within the hospitality industry, managing financial transactions and ensuring accuracy in accounts payable processes. The ideal candidate will thrive in a collaborative environment and contribute to maintaining smooth financial operations.

Responsibilities:

- Handle all sales tax transactions using Avalara and the billing system to ensure precise rates and filings.

- Coordinate tax-related communication and maintain the tax tracker across internal teams and external firm partners for state, federal, and property taxes.

- Oversee customer reimbursements by ensuring timely weekly payment processing, payment runs, and accurate communication while reconciling subledgers to the general ledger.

- Collaborate with various departments and external firms to support diverse business units effectively.

- Process and manage accounts payable transactions accurately, adhering to company policies and standards.

- Verify the accuracy of invoices, including pricing, quantities, and terms, and address any discrepancies.

- Build and maintain positive relationships with vendors and customers, resolving payment issues and inquiries promptly.

- Prepare and execute weekly and monthly payment runs, ensuring compliance with payment terms.

- Manage company purchase card transactions and reconcile accounts efficiently.

- Support the Accounting & Finance team in prioritizing payment schedules and maintaining organized records of transactions. Requirements - Proven experience in accounts payable processes, including coding invoices and managing account reconciliations.

- Proficiency in handling sales tax transactions, filings, and returns using tools such as Avalara.

- Familiarity with automated clearing house (ACH) payments and check runs.

- Strong understanding of expense recognition and reimbursements.

- Ability to work with financial systems and ensure compliance with accounting regulations.

- Excellent communication skills to resolve discrepancies and collaborate effectively with vendors and team members.

- Detail-oriented approach to verifying invoice accuracy and maintaining organized records.

- Experience supporting audits by providing necessary documentation and contributing to financial reporting improvements.
