Accounts Payable Specialist

Description We are looking for an Accounts Payable Specialist to support a busy manufacturing environment in Austin, Texas. This Long-term Contract position is ideal for someone who brings accuracy, accountability, and a strong grasp of end-to-end payables work in a high-volume setting. The person in this role will help keep vendor payments on schedule, maintain clean financial records, and work closely with internal teams to resolve invoice and payment issues efficiently.

Responsibilities:

- Process vendor invoices with careful review for accuracy, approvals, and policy compliance before entry into the accounting system.

- Compare purchase orders, receipts, and invoices to confirm supporting documentation is complete and payment-ready.

- Investigate pricing, quantity, or coding discrepancies and coordinate with procurement and other departments to reach timely resolution.

- Prepare and record vendor payments through methods such as check runs, ACH, and wire transfers in line with established schedules.

- Maintain organized accounts payable files and supporting documentation to assist with audits, reporting, and record retention requirements.

- Reconcile supplier statements and accounts payable activity, and contribute to month-end close by verifying balances and outstanding items.

- Monitor vendor accounts, respond to payment inquiries, and help sustain positive business relationships through clear communication.

- Support compliance efforts by following internal controls, applying tax-related requirements, assisting with 1099 preparation, and producing payables reports such as aging summaries and open invoice status. Requirements - High school diploma or equivalent required; additional education in accounting, finance, or a related discipline is preferred.

- At least 1 year of experience in accounts payable or a closely related accounting support role.

- Working knowledge of core accounts payable procedures, including invoice coding, voucher-based payment processing, and account reconciliation.

- Experience using accounting or ERP systems along with Microsoft Excel for data entry, tracking, and verification.

- Ability to manage a high volume of transactions while maintaining strong attention to detail and meeting deadlines.

- Effective communication skills and a dependable work style when partnering with vendors and cross-functional teams.

- Familiarity with manufacturing-related payables, including purchase order matching and inventory-connected invoices, is preferred.

- Demonstrated problem-solving ability and a positive approach in a fast-paced work environment.
