St. Edward's University of Austin, Texas invites applications for the position of Administrative Assistant. The Administrative Assistant is a Reporting to the Executive Director, the Administrative Assistant plays a key role in supporting the Institute's goals and initiatives. The position is 11 months (July not included), and at peak times during major events, the AA will be expected to work additional hours per week.
This mission-centered role requires a skilled professional who enthusiastically and collaboratively embraces the Catholic and Holy Cross identity of the Institute.
This position supports the mission of the Holy Cross Institute primarily by assisting the Executive Director in new initiatives as well as in the maintenance of ongoing programs and research projects. This position supports major events at the Institute, including but not limited to the annual Convocation, and assists with grants as well. The AA also works closely with the Associate Communications Director to maintain positive and productive relationships with faculty and staff ard's and at partner institutions of secondary and higher education in the Holy Cross network, nationally and internationally.
For consideration, this is the minimum requirements for this position:
- Bachelor's degree required, preferably in a Liberal Arts and Sciences discipline.
- High level of professionalism required.
- Minimum of 2 of years of experience in a professional office setting is preferred; experience may be concurrent with degree completion; experience in the higher education sector is preferred.
- Good written and verbal communication skills are required; familiarity with spreadsheets and other online tools is strongly preferred.
- Proficiency in Google applications and an understanding of database software programs is required.
- Ability to use AI judiciously is required.
- Understanding and appreciation of higher education required; familiarity with private Catholic higher education preferred; fluency in Holy Cross history and mission highly preferred.
- Ability to work in an office where teamwork and professional respect are the foundation for achievement is required.
- Successful completion of an employment and/or criminal background check is required.
Essential Duties and
Responsibilities Include:
- Program & Initiative Support:
Provide administrative and operational support to the Executive Director for the maintenance of ongoing HCI programs, research projects, and the development of new educational initiatives. The AA plays a role in two programs especially, the Holy Cross Charism Initiative and the Holy Cross Ambassadors Program. - Event Coordination:
Support major Institute events, including but not limited to the annual Convocation. The AA handles catering and most logistics for events outside of Convocation. - Grants and Grant Reporting:
Assist the Executive Director with the drafting and preparation of grant proposals and oversee the administration of the Leap of Faith Grant. - Communications & Outreach:
Work closely with the Executive Director and the Associate Communications Director to foster and maintain positive and productive relationships with faculty and staff ard's University and its partner institutions of secondary and higher education in the Holy Cross network. - Board of Governors:
Keep the minutes of board meetings of the Board of Governors; update the Belles Board platform as needed. - Organization and Time Management:
Manage multiple tasks simultaneously while meeting deadlines effectively. - The Holy Cross Institute Space:
Maintain office supply inventory, maintain appearance and functioning of common areas in the Holy Cross Institute and office equipment therein. - Additional duties as specified.
