Position: Administrative Staff II

General Responsibilities: Performs administrative and general office duties of a responsible and confidential nature. Produces a variety of correspondence, reports, and presentations using appropriate software for word processing, graphics, and spreadsheets. Screens telephone calls and visitors. Schedules and maintains calendars of appointments, meetings, and travel itineraries, and coordinates related arrangements. Routes or answers routine inquiries. Maintains files, department office supplies, and mail.

Prepares special reports. Gathers and summarizes data. May serve as a liaison between office and corporate functions. May be assigned to various functional areas of the company.

Essential Roles And Responsibilities:

  • Provides moderate to complex administrative support for an office, department, or group of professionals with minimal supervision.
  • Researches and obtains information for complex reports and special assignments, including data analysis and report preparation.
  • Analyzes complex problems, compiles, and analyzes data, and prepares reports.
  • Composes, prepares, edits, and proofs letters, reports, and other correspondence.
  • Answers telephones, screens calls, and forwards messages.
  • Handles calendaring, travel arrangements, and coordinates day-to-day activities.
  • Coordinates collection and submission of department or office timesheets.
  • Prepares invoices and billing clients, if applicable.
  • Follows safety rules, guidelines, and standards for all projects. Participates in pre-task planning and reports safety issues or concerns.
  • Maintains quality standards on all projects.

Requirements:

  • High school diploma or equivalent.
  • Minimum 3 years’ relevant experience.
  • Valid driver’s license with acceptable violation history.
