A leading commercial real estate firm has an exciting opportunity for a Tenant Relations/Events Coordinator. This is a prime CRE firm that has high profile tenants, and the position is a heavy client-facing role. Administrative Support- Maintain and organize finished copies of all written material and correspondence for the Property Manager and Assistant Property Manager.
- Assist Property Manager by maintaining updated and accurate files on all tenant-related items.
- Confirm availability for event dates and offer alternative dates if necessary.
- Confirm all reservation details and draft facility use agreements; ensure agreements assist in coordination efforts, including table/furniture configurations, catering, third-party vendors, building access, loading dock times, space plans, and security.
- Coordinate space plan setup with security and ensure ROS is followed during events and conference reservations.
- Coordinate and host tenant events such as Earth Day, Happy Hours, Fire Drills, etc.
- Ensure events run smoothly and assist with any logistical or technical requirements.
- Maintain a professional appearance and demeanor at all times.
- Cheerfully assist tenants with issues as they arise.
- Communicate effectively with tenants and vendors through various channels, including phone, email, text, virtual calls, and in-person.
- Develop and maintain positive relationships with tenants, ensuring high levels of customer satisfaction and loyalty.
- Assist Property Managers in maintaining tenant relations programs to ensure positive public relations and tenant satisfaction.
- Create, upload, and maintain informational flyers to TV breeze players.
- Order food and beverages for tenant events or on-site meetings.
- Walk through event spaces after the event ends to document potential damages. Coordinate quotes for repairs and invoice tenants for reimbursements if necessary.
- Degree preferred but not required
- 1+ years of professional office admin, client facing/events experience
- Proficient in Word or Word Perfect, Excel, PowerPoint and Microsoft Outlook.
- Excellent communications skills, professionalism, attention to detail & team player
