Salary

$3,290.36–$3,946.25 per month (annualized $39,484.32–$45,354.00). Monthly pay.

Schedule & Travel

Day shift, 25% travel, up to 80% telework eligible, compressed workweek of four 10‑hour days possible.

Responsibilities

Perform administrative duties including answering the telephone, referring callers to appropriate staff, taking messages, and answering basic questions. Enter data into state and federal automated reporting systems, conduct technical reviews of all reports in the computer tracking system, and determine appropriate disposition. Prepare, process, and distribute federal and state enforcement notification letters and reports. Monitor and review survey reports for all regulated and unlicensed facilities, finalize CMS certification and transmittals for enforcement actions and surveys, and prepare waiver letters.

Prepare and distribute documents requested under the Freedom of Information Act and submit to the state office.

Essential Job Functions
  • Maintain a regular and predictable work schedule.
  • Maintain records, files, or logs and handle filing, retrieving, or purging.
  • Prepare ongoing or special narrative and statistical reports for Program Managers, Regional Director, and State Office.
  • Maintain the regional Survey Management System database.
  • Communicate with others internally and externally to provide, exchange, or verify information, answer inquiries, address issues, or resolve problems or complaints.
  • Monitor and perform technical review of all survey and investigation documentation to ensure accurate preparation of all forms, supporting information, narratives, and reports.
  • Ensure all documentation complies with state and federal requirements.
  • Make corrections to ensure compliance.
  • Process all state and federal enforcement actions within required time frames.
  • Prepare technically accurate state and federal reports, notification letters, administrative penalty notifications, waiver letters, and the CMS Certification and Transmittal.
  • Determine appropriate distribution for all actions to meet federal and state requirements.
  • Enter critical information into state and federal databases regarding scheduling, agency visits, recommendations, and activities to provide accurate data for required internal and public reporting processes.
  • Responsible for submitting, to the state office, all documentation requested through the Freedom of Information Act, including reviewing the file to determine location of documentation, copying appropriate documents, and distributing within required time frames.
  • Other duties as assigned.
Knowledge,

Skills and Abilities
  • Ability to perform complex tasks related to Federal & State rules and standards while maintaining attention to detail.
  • Ability to quickly comprehend frequent technical changes.
  • Ability to learn and maintain knowledge of the Long-Term Care Integrated computer system and regional Survey Management System.
  • Ability to read, understand and apply program technical procedures for processing surveys, enforcement actions, and administrative penalties.
  • Ability to maintain a high level of confidentiality.
  • Knowledge and experience with computers.
  • Ability to answer telephone calls, refer callers to appropriate staff, take messages, and answer basic questions.
Qualifications

Experience using a computer, Word, Excel, or other word processing software. Experience in organizing, maintaining, or monitoring files, records, or logs. Experience with electronic records preferred.

Additional Information

All applicants must pass a fingerprint criminal background check. The position requires up to 25% travel and the candidate may be asked to attend out‑of‑town meetings or training sessions.
