The Texas Treasury Safekeeping Trust Company (TTSTC) is a special-purpose entity that manages, safeguards, and invests public funds and securities belonging to the state of Texas, its agencies and local political subdivisions of the state. TTSTC’s special-purpose entity status provides the Comptroller’s office direct access to specialized investment services and programs enabling the Comptroller to achieve the highest return at the lowest cost to the state.

General

Description

The Executive Assistant to the Chief Investment Officer at the Texas Treasury Safekeeping Trust Company is a strategic partner supporting the efficient operation of the CIO’s office. This role is highly visible providing advanced administrative and organizational support, serving as a central coordination point for executive meetings, communications, and events. The ideal candidate thrives in a fast‑paced role, is discrete, proactive, detail-oriented.

Work

Hours

Agency standard work hours are Monday through Friday from 8am to 5pm, 40 hours per week with occasional evening and weekend hours. Hours are subject to change based upon business need or division determination.

This position may be eligible for a flexible/hybrid work schedule if certain conditions are met; working arrangements may change at any time as business necessitates.

Minimum Qualifications
  • Graduation from an accredited college or university with a bachelor’s degree.
  • 5 years of experience in executive-level administrative support to managers and/or executive level managers, ideally within financial series, investments, or a professional corporate environment.
  • Advanced proficiency in Microsoft Office Suite.
  • Ability to operate with a high degree of autonomy and minimal daily interaction with the CIO due to work demands.
  • Demonstrated experience planning and executing meetings, conferences or corporate events.
  • Experience in managing a program or conducting analysis.
Preferred Qualifications
  • Bachelor’s degree from an accredited college or university with major course work in business administration, accounting, or related field.
Roles & Responsibilities

IRMS Responsibilities, Investment Fund Set Up Reporting and Data Monitoring

  • Coordinates requests and compiles current and historical data from prospective managers for use in quantitative and qualitative due diligence.
  • Provides quarterly reporting to investment staff on new investments, subscriptions and redemptions, and private funds IRR.
  • Provides data on new investments, redemption, and investment performance for both internal usage and external reporting.
  • Adds reports to Back Stop.
  • Monitors the timely receipt of monthly reports, quarterly reports and financial statements from managers and third‑party administrators.
  • Reviews incoming manager update letters, completes action items or forwards to appropriate staff for handling.
  • Stays abreast of RMS industry technology improvements and best practices.

Administrative Support for the Chief Investment Officer

  • Manages and maintains the CIO’s daily and weekly schedule, including appointments, internal and external meetings, and travel arrangements.
  • Manages and books travel for CIO to include flights, hotels, itineraries.
  • Monitors the investments as.gov mailbox.
  • Aids in preparing documents, presentations and special projects.
  • Archives Investment email at the end of each calendar year.
  • Documents meetings and site visits in Backstop.
  • Liaises with portfolio managers to ensure meetings are documented as required by management and audit.
  • Liaises with Contracts team to ensure all external investment deadlines and requirements are met in accordance with contact terms.
  • Liaises with Training Coordinator to ensure CIO and Internal Investments completes required training in accordance with the Comptroller's Investment Policy.
  • Liaises with Training Coordinator to ensure entire Investments team completes required agency training.
  • Coordinates between Operations, Investments Teams and CPA Graphics on Board Book Production and follow‑up.
  • Coordinates with Business Operations and CPA Print Operations on Tex Pool Board Book production quarterly.
