This non‑exempt, non‑billable position provides administrative support for various practice areas.
Essential Duties- Handle confidential and non‑routine information.
- Work independently and within a team on special, non‑recurring and ongoing projects.
- Type and design general correspondences, memos, charts, tables, graphs, business plans, etc.
- Deadline driven and follow up on open items.
- Open new client/matter numbers.
- File and file organization (manual and e‑filing).
- Make copies, scan, etc. as requested.
- Schedule meetings.
- Process invoices for payment. Assist with billing and invoicing.
- Assist with expense reports.
- Serve as backup receptionist and administrative services clerk.
- Recommend changes in office practices or procedures.
- Document office procedures.
- Perform other duties as assigned appropriate for the position.
The Practice Assistant reports to the Office Administrator. No subordinate staff.
QualificationsKnowledge/Experience
At least six months of general office experience or training, or an equivalent combination of education and experience. Experience working within a law firm or professional services environment is preferred. A broad range of technical ability, with a demonstrated aptitude and willingness to learn new software/applications is preferred.
Skills
Proficient with Microsoft Office applications. Detail oriented and able to follow instructions. Strong client focus, written and verbal communication skills. Ability to work individually and as part of a team. Ability to work with many different types of personalities at all levels of organization. Ability to answer questions while maintaining confidentiality. Sense of “urgency” and proactive in daily task management. Flexibility and adaptability to change quickly.
Strong organizational skills for planning, prioritizing, and managing a diversified workload.
Education
High school diploma or equivalent; recent college degree preferred.
Must be able to move around the office up to 15% of the time to make copies, fax, file, etc.; remains stationary at least 80% of the time. Operates computers and other office productivity machines (fax, copier, printer) regularly. Occasionally required to move documents or files weighing up to 15 lbs. Must communicate and exchange information with attorneys, clients, and staff continuously.
Inspect and observe information on a computer screen at least 80% of the time.
Office environment; occasional overtime may be required.
