Individual Giving Assistant (Development)

Department: Development
Manager: Director of Individual Giving
Location: Austin, Texas
Position: Full Time + Benefits
Schedule: Hybrid Remote/3 days in the office/2 days remote
Salary Range: $21.00 to $23.00 ($43,680 to $47,480 annually) commensurate with relevant years of experience

About the Role

The Individual Giving Assistant delivers an exceptional donor experience across the individual giving pipeline — from initial engagement through membership, stewardship, renewal, and ongoing support. As a key member of the Individual Giving team, this role provides donor services, fulfills membership benefits, supports donor communications and ticketing, and helps identify opportunities for deeper engagement and giving. The Individual Giving Assistant is a primary point of contact for donors, ensuring a seamless, personalized experience at every stage of their relationship with the organization.

Responsibilities
  • Supports the cultivation and stewardship of donors and prospects through personalized outreach, event engagement, and benefit fulfillment.
  • Responds promptly and professionally to donor inquiries.
  • Conducts donor outreach by phone and email to acknowledge gifts and thank supporters.
  • Assists with pledge fulfillment by contacting donors regarding outstanding pledges.
  • Fulfills membership benefits for donors giving under $1,000 annually, including ticket fulfillment, special events, and other member perks.
  • Assists donors with ticketing needs, including pre-sale access and seating requests.
  • Coordinates communications and benefit fulfillment for the Film Fan Membership program, including member events and special experiences.
  • Supports the monthly membership renewal process.
  • Supports the Associate Director of Events and other team members with event communications, coordination, and administrative processes.
  • Writes and coordinates event communications for donor events throughout the year, including email and direct mail.
  • Prepares and maintains invitation lists, guest lists, and RSVP tracking for donor events.
  • Plans and executes Patron Appreciation Nights in collaboration with the Associate Director of Special Events.
  • Provides support for the annual Gala.
  • Assists with additional annual events and donor experiences, including the Advisory Council Party, Moontower Comedy Festival, Pub Run, film parties, and other special events.
  • Tracks membership benefits and maintain accurate and complete donor and patron records in Tessitura.
  • Assists with ongoing database maintenance and data hygiene.
  • Provides administrative support to the Development team as needed.
Requirements
  • One year of experience in an administrative position. Experience working in a Development/Fundraising department preferred.
  • Experience with a CRM/database is required, working knowledge of Tessitura database and reporting strongly preferred.
  • Bachelor’s degree or equivalent work experience.
  • This position requires someone who is comfortable interacting with patrons and donors, able to work independently, detail-oriented, familiar with computers (i.e., Outlook, Word, Excel), exceptional written and interpersonal skills, proven ability to prioritize and deliver within a multi-faceted organization, and a demonstrated team player.
  • Occasional evening and weekend work is required.
  • Willing to adjust to a demanding and changing environment where different hats are worn each day and committed to and be enthusiastic about the theatre’s mission and programs.
